Administrative Intern

This is a temporary, residential position. You will assist with the daily operations of our intense but incredibly rewarding program, counsel, and supervise international teenagers and young adults by supporting the academic team, the excursion team, and our clients (students and chaperones).

Locations

  • New York: St. John’s University (Queens Campus). Dates: IMMEDIATE START – August 16th, 2025.

Your key tasks will consist of, but not be limited to:

Student Supervision

  • Act in loco parentis to ensure student safety, discipline, and welfare.
  • Enforce the YES USA Student Code of Conduct.
  • Notify management of issues and carry out disciplinary actions.

Academic Support

  • Track and follow up on missing placement tests.
  • Prepare and share weekly student rosters.
  • Support classroom tech and teachers.
  • Monitor attendance and follow up on absences.
  • Prepare and print certificates, evaluations, and classroom materials.
  • Assist the ESL department with requests.

Excursion & Activity Support

  • Confirm or place bookings for excursions and travel cards.
  • Support counselors in preparing and managing excursions.
  • Lead trips in emergencies and take photos/videos.
  • Help plan and coordinate on-campus activities.

Meal Supervision

  • Oversee student behavior during meals and resolve issues.
  • Liaise with cafeteria and manage food deliveries.
  • Track food inventory and arrange off-campus dining (research, reservations).

Arrival & Departure

  • Review and follow up on pre-arrival paperwork.
  • Coordinate with agencies and host institutions (room assignments, student IDs).
  • Support arrival/departure logistics: airport transfers, check-ins, room inspections, orientation.
  • Create presentations, collect media, and help run ceremonies.

Administrative & Miscellaneous

  • Handle communications (calls, emails, messages).
  • Update databases and maintain common areas.
  • Liaise with partners and assist students/chaperones.
  • Support sick students, manage emergencies, and complete admin tasks.

 

Requirements

  • Enrolled in a U.S. university with a 3.0+ GPA.
  • Native-level English fluency.
  • Strong written and verbal communication.
  • Authorized to work in the U.S.

Hours:

  • 6 working days per week
  • 48 hours per week

Compensation and Benefits:

  • Salary: $350–$400 per week, paid on a weekly basis.
  • Housing: Accommodations provided on campus in a shared dorm.
