Accounts Payable Specialist

Accounts Payable Specialist
Job Type: Full-Time 
Shift/Hours: Monday–Friday, 7:00 AM – 3:30 PM
Salary: $22-$25/hr DOQ

Job Summary:

We are seeking a detail-oriented and organized Accounts Payable Specialist to support daily financial and clerical operations within an office setting. This role includes managing vendor payments, organizing invoices, maintaining accurate records, and providing phone support during early office hours. The right candidate thrives in a structured environment, meets deadlines efficiently, and contributes positively to a collaborative team culture.

Key Responsibilities:

Daily Tasks:

  • Open the office and answer phone calls between 7:00 AM – 8:00 AM
  • Enter A/P invoices into Sage 100
  • Print emailed invoices and manage physical mail bin
  • Maintain organized filing system for invoices and lien waivers
  • Backup for receptionist as needed
  • Handle fuel slips and ensure confidentiality of banking/credit card data

 

Weekly Tasks:

  • Process employee reimbursements on Thursdays
  • Track and manage pre-lien entries in spreadsheet and send updates
  • Review credit PO list and follow up with vendors and department manager

 

Monthly Tasks:

  • Prepare and mail payments to vendors based on scheduled calendar (1st, 9th, 11th, 17th, 24th, and last day of the month)
  • Print statements, complete aging reports and apply credits
  • Maintain and update certificate of insurance records
  • Review month-end binder and ensure accurate documentation

 

Other Tasks:

  • Collect W-9s and insurance certificates from new vendors
  • Manage car wash cards
  • Assist with year-end duties (box up records, generate 1099 list, update subcontractor agreements)
  • Perform general administrative tasks as assigned by leadership

Qualifications:

  • High school diploma or GED
  • Professional communication skills (verbal and written)
  • Strong attention to detail and organizational skills
  • Proficient typing (50+ WPM) and 10-key data entry
  • Experience using accounting software (Sage 100 preferred)
  • Ability to manage multiple deadlines, especially during month-end
  • Commitment to confidentiality, professionalism, and team collaboration

Working Conditions:

  • Standard office setting with prolonged sitting and computer use
  • Must be able to lift 5–50 lbs occasionally
  • Some bending, twisting, kneeling, and reaching required
