Client Assistant
We are seeking a highly organized, detail-oriented Client Assistant with strong problem-solving skills and a commitment to professionalism. This role requires adaptability in managing changing priorities and deadlines, as well as the ability to maintain discretion and sound judgment. The ideal candidate will work independently while also mentoring team members and maintaining the highest level of accuracy in financial and administrative tasks.
Key Responsibilities:
- Train and mentor Admin Assistants and Interns, ensuring adherence to company processes.
- Approve Accounts Receivable and Accounts Payable processes, including following up on outstanding invoices.
- Perform bank reconciliations with accuracy and efficiency.
- Manage billing, billbacks, budgets, and budget versus actual reporting (e.g., household, per show, promotional budgets).
- Utilize income checklists to track and verify income data.
- Enter journal entries and prepare reports with attention to detail.
- Perform general data entry projects, research, and handle special projects as needed.
- Process payroll for client entities, ensuring timely and accurate payment.
- Maintain Tour/Merch CCF data and conduct timely settlement report audits.
- Calculate commissions, track payments, and issue commission statements.
- Conduct tax savings analyses and ensure compliance with relevant tax regulations.
- Identify and route important issues to the Client Manager, FSM Partners, or client representatives as needed.
- Assist with basic tax preparation, including data entry and research.
- Process W-2s and 1099s accurately and in a timely manner.
- Update inventory records for client-owned merchandise.
- Prepare and file sales tax returns and payroll tax returns, ensuring compliance with relevant tax laws and regulations, or work with 3rd party payroll companies where applicable.
Required Skills/Qualifications:
- 2 Semesters of Accounting required
- Excellent attention to detail and a commitment to maintaining accuracy in all tasks.
- Strong problem-solving skills, with the ability to anticipate issues and resolve them independently.
- Proficiency in Microsoft Office, particularly Excel and Outlook.
- Ability to manage shifting priorities and deadlines in a fast-paced environment.
- Highly organized and capable of multitasking effectively.
- Strong communication skills and the ability to work well both independently and as part of a team.
- Professionalism and discretion when handling sensitive and confidential information.
