Temporary School Registrar and Enrollment Specialist
Job Title: Temporary School Registrar and Enrollment Specialist - Two Positions Available
Compensation: $32 - $37 per hour
Classification: Temporary, part-time; non-exempt.
Schedule: 15 hours per week

Reports To (Job Title): Director of School Administration
Job Purpose: Under supervision from August 2025-January 2026, administers San Francisco Ballet School’s year-round and summer session enrollment, from first point of student contact through to registration. Manages enrollment and auditions for Summer Session and School Year. Provides general school support in administrative areas. This fully-remote, temporary role is posted as coverage for one month prior (August) and one month after (January) existing employee’s leave (September-December). Hybrid work is available if desired.
Job Duties and Responsibilities:
Registrar
- FACTS expert, database manager; accounts receivable
- Together with the Director of School Administration, develops online registration protocols and forms, including the Parents Portal, Faculty Portal, etc.
- Generates and processes enrollment materials for School Year, Summer Session, Community Scholarship, and Pre-Ballet programs.
- Oversees all student billing in FACTS; follows up on delinquent payments and provides revenue reports.
- Coordinates processing of refund payments with Finance Department; provides support as needed.
- Maintains and trains staff on the School’s database
- Produces financial and demographic reports as requested.
- Distributes student evaluations to families and archives evaluations in database
- Serves as a Designated School Official for the Student Exchange and Visitor Program, prepares and issues I-20s for international students.
- Coordinates administrative aspects of Summer Ballet Classes and the Community Scholarship program, including marketing emails, enrollment forms, orientations, and family communications prior to enrollment, in close collaboration with the School Programs Coordinator.
Enrollment/Audition Management
- Produces and distributes audition results; leads the administrative process of the school year and summer auditions
- Serves as the main point-person for audition-related questions from applicants
- Serves as main point-person for all summer students and families through enrollment
- Assists with PR & Marketing efforts for summer and school auditions
- Other School Administrative duties as assigned.
- Performs other duties as required or assigned by supervisor

- Parents, and students, collaborators and consultants
Education:

Ensure accurate and timely billing, deposits and enrollment and income reports.
Establishes and maintains effective relationships with students, families, volunteers and community contacts by building rapport, listening and attending to their needs (when appropriate) and being easy to approach.
Enthusiastically participates in SFBA activities and events including embracing and assisting in projects and initiatives when assigned.
Communicates with internal and external constituencies both verbally, and in writing, in a manner that ensures clear and mutual understanding of information.
Demonstrates tact and diplomacy in all interactions. Demonstrates appropriate treatment of sensitive or confidential information.
Maintains documentation, files and work papers that are readily accessible and understandable by others.
Prioritizes work to effectively balance multiple assignments and requests and communicates concerns to supervisor.
Effectively and accurately proofs own work using contemporary business grammar, punctuation and spelling rules.
Produces complete and accurate work products such as roll books, check requests, financial reports etc. for review by appropriate staff member.
Physical Demands:
- Ability to lift 30#. Climb stairs. Occasional non-standard work hours. Ability to travel to offsite dormitory location.
Special Equipment Used:
- All standard office equipment, including fax, copier, etc. PC Software including Word and excel. Internet and e-mail knowledgeable.
