Customer Relationship Management (CRM) System Administrator- Seattle Promise

Seattle Colleges is seeking a CRM System Administrator (for Seattle Promise) in its Public Relations and Strategic Initiatives office.

Salary Range for this position is $63,268 to $87,371 annually (depending on experience).

Opportunity is open until filled, first review of materials will begin July 1, 2025

Position Summary

The Customer Relationship Management (CRM) System Administrator for Seattle Promise is a full-time position at Seattle Colleges District Office 

The position reports to the Associate Vice Chancellor of Public Relations and Strategic Initiatives and is a member of a districtwide team supporting strategic recruitment and retention planning and other initiatives showcasing Seattle Promise to prospective students, families, and the community.

The CRM Admin for Seattle Promise supports these efforts by working with the district's CRM administrator, communications and recruitment teams and recruitment, outreach, retention, and communications professionals in the Seattle Promise program and at North, Central, and South Seattle Colleges to implement and maintain a districtwide CRM. 

This includes system configuration, report generation, training aids, and system maintenance. The system administrator enters data and tracks communications with inquiries, coordinates datasets and records management. It will also work with other departments to integrate data with other Seattle Colleges systems including the state student information system and the district student success software system.

This position is responsible for identifying and setting best practices and ensuring consistency with regards to system usage, configuration, development, testing, and data integrity. It will encounter a variety of issues and be expected to do an analysis to determine which protocol is best. It is responsible for providing day-to-day support and training of Seattle Promise CRM leads, when appropriate. 

This position is funded by the City of Seattle`s Family, Education, Preschool, and Promise Levy which is fully funded through June 30, 2026, with possibility of extending with the renewal of the City`s Education Levy. 

This position is full-time, working 40 hours per week, Monday through Friday, primarily 8 am to 5 pm.

This position works 100% of the time on-site. 

This position is governed by a collective bargaining agreement with representation by AFT Seattle Professional Staff (SPS), local 6550.

What you will be working on:

Database Management & Integration

  • Develop, maintain, and update the CRM.
  • Review, map, and analyze business processes/communications and translate them to system requirements. 
  • Perform daily system monitoring, verifying the integrity and availability of all software resources, systems, and processes. 
  • Anticipate, investigate, and troubleshoot workflow and data integration issues.
  • Identify process improvements and make recommendations.
  • Review analytics and generate reports.
  • Maintain security profiles, access rights, and roles for users within the application. 
  • Work closely with business partners to realize the full capabilities of the CRM.
  • Integrate data from other systems to track and report conversion.

User Support and Training

  • Support user requests and implement best practices across the colleges.
  • Facilitate district-wide training of CRM administrators at each college to capture, track, and convert inquiries. 
  • Initiate support with software/hosting vendor.
  • Develop and document configuration procedures.

Marginal Job Functions

  • Assist with drafting communications in the system.
  • Assist with district recruitment and marketing efforts as needed. 
  • Participate in other initiatives related to recruitment and/or system integration. 
  • Participate in other CRM development projects related to other key audiences: business/community partners, employees, etc.

What you bring as a candidate (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience):

  • Two- or four-year degree, plus two years of software application administration.
  • Experience using a client relationship management (CRM), software system such as Azorus, Salesforce, etc.
  • Technical experience in administration of cloud-based/SAAS applications. 
  • Experience working with databases, with demonstrated experience designing, building, managing databases and data driven applications. 
  • Experience training users on system functions.
  • Strong problem-solving skills. 
  • Strong interpersonal communications and customer service skills. 
  • Strong verbal and written communications skills. 
  • Strong time management skills. Ability to prioritize and meet deadlines. 
  • Organized with attention to detail. 
  • Experience working with and building teams.
  • Extensive experience using a client relationship management (CRM) system, experience using Azorus is a plus.
  • User interface design, HTML, CSS, and JavaScript skills. 
  • Some marketing and communications experience.
