Reports To:     Executive & Artistic Director

Start Date:       Fall 2025

Work Type:     Hybrid, Paid

Schedule: 5-10 hours/week, schedule flexible and discussed in conversation with Executive Director

About Berks Youth Chorus

Berks Youth Chorus’ mission is to enrich our community by fostering and promoting choral excellence in young people through music education and quality performances. Berks Youth Chorus strives to cultivate leadership, confidence, friendship, creativity, and joy for choral singing in young singers through diverse programming and musical excellence. We envision our singers contributing to a world that is inspired by and connected through music.

Our primary programmatic initiative, Chorus for Causes, empowers our youth to use music as a vehicle to give back to their community. Each year, our singers select and partner with an organization doing work in the community that our singers are passionate about. The process gives our singers the opportunity to witness firsthand how their voices can make a difference in our world.

 

Job summary 

The Marketing and Arts Administration Intern assists the Executive Director to learn marketing and management practices of a vibrant nonprofit arts organization. Opportunities include hands-on experience in social media, budgeting and finance, board management, and volunteer engagement. Marketing initiatives include print media, brochure/flyer distribution and multiple social media channels and platforms, with the goal of promoting BYC’s programs for prospective families, maintaining BYC’s brand, and enhancing all recruitment and retention efforts.

 

Essential Duties and Responsibilities 

  1. Communications
    • Serve as a point of contact for prospective and current families, collaborating organizations, vendors and funders.
    • Coordinate weekly parent emails and various text updates to BYC families.
    • Assist with creation and distribution of marketing materials, bulk mailings, and electronic newsletters.
    • Assist with donor communications, including appeal letters and other touch points.
  2. Marketing
    • Assist in outreach through mail, email and social media.
    • Content creation and coordination for social media, written marketing materials and website updates.
    • Attend rehearsals when needed (Sunday afternoons and Monday evenings) to collect footage for marketing content.
    • Assist with creation and distribution of marketing materials, bulk mailings, and electronic newsletters.
  3. Administrative Support
    • Assist in coordinating performances and events.
    • Manipulate constituent database (Little Green Light) to generate rosters, reach out to alumni, contact parents and communicate with donors.
    • Assist with coordination of concert and rehearsal logistics, including rehearsal attendance, volunteer clearances and compliance with BYC policies.
    • Maintain the music library and its database and coordinate distribution and collection of music and supplies.
    • Log donations and track acknowledgment letters and thank you notes.
  4. Take on additional tasks as directed by the Executive Director.

 

Qualifications and Skills

  • Ability to attend BYC rehearsals in Wyomissing every other week to collect footage for social media.
  • Interest in and commitment to BYC’s mission.
  • Local to Greater Reading/Berks area.
  • Strong organizational skills.
  • Strong written and oral communication skills, both written and spoken—with an ability to represent BYC with sophistication and credibility in all interactions.
  • A willingness to embrace new challenges and learn new skills.
  • Ability to develop effective work plans, organize details, set priorities, and meet deadlines.
  • Strong attention to detail and ability to work both independently and with a small team.
  • Ability to operate and troubleshoot standard office equipment.

 

Preferred Qualities

  • Familiarity with social media and graphic design (like Canva) a plus.
  • Proficiency with spreadsheets, databases, and word processing.
  • Strong ethical standards and ability to maintain a high level of confidentiality.
  • Commitment to BYC values, which includes advocating for social justice, anti-racism and inclusion.
  • Bilingual English/Spanish a plus.

 

Additional Conditions of Employment

  • Ability to pass both state and federal background checks (including FBI fingerprinting) in accordance with the state Child Protective Service Law.
