Description
Reporting to the President, this individual will provide organizational support to the Seminary in two roles: (1) by managing the administrative affairs of the President’s Office, in addition to (2) overseeing the institution’s external communication campaigns to partners and donors through digital/print media.
Responsibilities and Duties
(60%) President’s Office Administrative Support:
- Coordinate the president’s calendar by scheduling regular appointments and engagements with administration, board, donors, churches, students, faculty, and alumni
- Schedule, coordinate, and take meeting minutes for Administration Council, board meetings, and board committees involving the President, including, but not limited to, Advancement Committee, Governance Committee, Chinese Program Committee, etc.
- Provide administrative, logistical, and IT support to the President at meetings as requested by the President.
- Maintain presidential office filing systems for paper and electronic records, including committee minutes, committee documents, accreditation reports, audit reports, handbooks, manuals, grant proposals, and meeting recordings.
- Compile, bookmark, and export grant proposals and meeting agendas as requested by the President
- Reserve venues, set up web conferencing (as needed), prepare meeting packets, and order catering for board-related events or as requested by the President
- Manage internal electronic communication notices and updates sent from President’s Office to the institution
- Screen calls and answer any questions related to the President’s Office
- Restock office supplies as needed
- Compile and submit monthly receipts from President’s Office to Finance Department
- Assist with additional items as needed by the President
(40%) Advancement/Development:
- Record and maintain incoming donations through the online donor tracker system
- Generate and mail donor receipts
- Work with VP Advancement and the Advancement committee to draft and execute an annual advancement calendar that reflects the goals of the institution’s strategic plan, including but not limited to fundraising campaigns, donor visits, newsletters, and appeal distributions.
- Draft, edit, and print newsletters and appeals for physical and digital distribution to constituents
- Coordinate and assist with the execution of the Global Table and additional fundraising campaigns by:
- Working with the Advancement Office to promote the event, organize the program, and manage day-of logistics
- Overseeing the creation of save the dates and invitations to be distributed physically and electronically to prospective and existing donors
- Scheduling electronic e-blasts to send reminders about upcoming events
- Outsourcing an external photographer and/or videographer for bigger events
Preferred Qualifications
- Cross-cultural experience/intercultural competency; ability to represent ITS’s mission to a global constituency from diverse backgrounds in multiple contexts

- Excellent written and verbal communication skills
- Proficient with Microsoft Office (Word, PowerPoint, Excel)
- Proficient with Google Suite (Gmail, Google Drive, Sheets, Slides, Calendar, etc.)
- Basic graphic design/photo-editing skills (familiarity with Canva, Adobe Photoshop, Illustrator, or InDesign a plus)
- Basic knowledge of photography and video editing is a plus
- Knowledge of MailChimp and Metricool is a plus
Requirements:
- Undergraduate degree
- Ability to lift at least 20 lbs
- Ability to drive off-campus for school-related events
Hours: 20 hours/ week
Pay: $16.50 - $25/hour based on experience
