Children's Medical Services (CMS) is a statewide program within the Public Health Division, Department of Health. This program provides services for the prevention, diagnosis and treatment of disabling conditions in children all over New Mexico. Children from birth to 21 with chronic illnesses or medical conditions that require surgical or medical treatment and limit their activity, such as diabetes, arthritis and cleft lip/palate are eligible for the program. Only diagnoses listed in the CMS Medical Appendix are covered. Children/youth must be medically eligible based on a diagnosis.
Why does the job exist?
The Clerk Specialist provides clerical support to local health office staff to include but not limited to: preparing correspondence, reports, answering phones, filing, data entry and other clerical functions. This position provides direct service functions which are billable under the licensed CMS Social Workers. This position also assures medical reports are secured, billing and data entry, scheduling and attendance at CMS appointments and outreach clinics. Other functions include but not limited to: preparing correspondence, reports, payment vouchers, purchase documents, timekeeping functions, etc. This position will function in an integrated clerical mode assigned to all essential clerical functions of the Children's Medical Services Programs and support to the other clerks within the NE Region CMS program.
Many clerks are bilingual and act as translators for staff also in relaying information, access to food, healthcare and other community resources. The clerk also participates in Public Health efforts to mitigate the effects infectious diseases.
How does it get done?
Facilitation of the daily operation of the office, supporting the delivery of service to clients, families and communities. Organization of files, correspondence, intake, scheduling and tracking functions.
Establishes and maintains the CMS client data entry system in an accurate and timely fashion in order to assure effective and efficient client service delivery.
Prepare and organize records, forms and files essential to the efficient functioning of the office.
Preparing vouchers; Executing the State Fund Deposit Balance monthly report; Maintaining care and support account, balancing checkbook, vouchering and reports
Who are the customers?
Clients age 0-21 with chronic medical conditions (and their family members) of Santa Fe county and other NE Region counties.
Ideal Candidate
4 yrs clerical experience to include but not limited to: preparing financial documents, computer skills, working with the public; managing multiple tasks; filing; preparing work schedules to ensure office coverage; maintaining appointment calendar; answering telephone; fax, data entry. One year experience in supervision or overseeing work of others. (College level education may be substituted on a year-by-year basis for experience.)
Minimum Qualification
High School diploma or equivalent and three (3) months experience in office administration and/or customer service. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling three (3) months may substitute for the required experience.
Employment Requirements
Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment.
Working Conditions
Office setting, exposure to VDT, extensive personal computer and phone usage. Some travel may be required.
