Position Description
Reporting to the Manager, Finance & Administrative Services, the Administrative Support Coordinator Intern is responsible for providing customer service and key business administrative functions to AAAHC. The individual in this role will: answer, and/or route calls and emails from the main phone and inboxes, assist with creating a front desk team dashboard, compile expense report submissions, assist their manager in reconciling forecast reports, collaborate with the operations department on new calling campaign initiative, and perform various clerical and office services duties to maintain smooth AAAHC operations.
This role utilizes Excel and PowerPoint to compile monthly front desk workload metrics providing insight for management process improvement considerations. This individual will provide other ad hoc support as needed.
- Triage calls and email inquiries from centralized phone and inbox; logging and addressing inquiries in Fresh Desk platform
- Log all emails and phone calls via Fresh Desk platform. Ensure proper categorization and complete required inquiry fields to drive accurate metrics, appropriate agent assignment, and to achieve service level targets.
- Assist with creating a dashboard for the Front Desk team including compilation of various metrics
- Compile expense report submissions and prepare for Accounting team; assist with report processing as needed based on Finance resources and platform implementation schedule
- Collaborate with Account Representatives to coordinate meetings with clients; assist with client calling campaign initiative to address change notifications
- Reconcile reports from budgeting software platform in preparation for the Mid-Year Forecast and assist in compiling dashboard data for weekly distribution.
Minimum Qualifications and Job-specific Competencies Required
- Current 3Y college student preferred; would consider 4Y (recent graduate)
- Excellent verbal and written communication skills to a variety of audiences
- Effective organizational and time management skills; detail oriented and able to multi-task
- Excellent customer service skills, demonstrating a high level of professionalism; strong service orientation to clients, employees, and other stakeholders
- Good working knowledge of standard telephone systems, auto attendant features and other equipment (e.g., copiers, shipping equipment)
- Exhibits a team oriented, collaborative approach to all work
- Microsoft Office Suite proficiency (i.e., Outlook, Word, Excel, PowerPoint)
Preferred Qualifications
- Prior internship experience is preferred
Working Conditions & Travel Expectations
- Standard work day is 8.5 hours including one hour unpaid lunch; work hours between 8:00-8:30 am to 4:00-4:30 pm
- Ability to work onsite 5 days per week
Physical Requirements
Light work: Exerting up to 20 lbs of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg control requires exertion of forces greater than that of sedentary work and if the worker sits most of the time, the job is considered light work.
