Mental Health Receptionist

Kesma Flame Lily is seeking a Friendly, Empathic, and Dependable Mental Health Receptionist.

Kesma Flame Lily LLC is a team of mental health professionals that specialize in Trauma Informed and Multicultural Mental Health evaluations, clinical social work, and family therapy. The Mental Health Receptionist plays an integral role within the office by representing Kesma Flame Lily’s mission and values as the first impression to all clients. They are the first point of contact for clients, staff and visitors. They provide essential administrative support to ensure the smooth operation of the mental health office. Receptionist:

Title: Mental Health Receptionist

Location: Brooklyn Center, MN

Job Type: Full Time

Hours: Monday – Friday 8:00 AM – 5:00 PM

Reports to: Supervisor

Summary: The Mental Health Receptionist is responsible for providing exceptional customer service and administrative support to clients, staff, and visitors at the mental health office. They play a critical role in creating a welcoming and organized environment, which is essential for the overall effectiveness of mental health services.

Key Responsibilities:

1. Maintain Reception Area:

  • Opening and closing of the Mental Health office.
  • Keep the reception area clean, organized, and well-stocked with necessary materials.
  • Ensure reading materials and resources are available for clients while they wait.

2. Greet and Welcome Clients:

  • Warmly greet and welcome clients and visitors as they arrive at the office.
  • Provide a friendly, positive and supportive atmosphere to help clients feel comfortable and at ease.
  • Deliver an exceptional customer experience to clients by consistently demonstrating Kesma Flame Lily mission and values.

3. Answer Phone Calls and Emails:

  • Answers the phone promptly, documents the call, independently handles or routes information/questions to appropriate staff.
  • Handle incoming phone calls and emails, and taking messages as necessary.
  • Provide accurate and helpful information about the mental health office's services and policies.

4. Manage Appointments

  • Registration of new referrals from incoming faxes, email and phone.
  • Schedule and confirm appointments for new and existing clients using the office's scheduling system.
  • Coordinate and maintain with clinicians and other staff to ensure timely and accurate scheduling.

5. Verify Insurance and Documentation:

  • Collect and verify client information, including insurance details, identification, and necessary forms.
  • Ensure all required documentation is completed accurately and stored securely.

6. Assist with Administrative Tasks:

  • Provide general administrative support, such as data entry, filing, faxing, photocopying, and scanning.
  • Assist in maintaining client records and confidential information in compliance with privacy regulations.

7. Coordinate with Clinical Staff:

  • Communicate effectively with clinicians, therapists, and other staff members regarding client appointments, cancellations, and special requests.
  • Act as a liaison between Mental Health Providers, Staff and Clients.

8. Maintain Confidentiality:

  • Trustworthiness in handling sensitive information (with special preference given to candidate with HIPPA Compliance knowledge and training.
  • Handle sensitive information with the utmost discretion and adhere to all privacy and confidentiality policies.

Required Qualifications:

  • High school diploma or equivalent (some positions may require additional education or certification).
  • 2 years of previous experience in a medical receptionist or medical administrative support role.
  • Basic knowledge of billing and insurance coverage
  • Knowledge of mental health services and terminology is a plus.
  • Strong communication, interpersonal, problem solving, multitasking and organizational skills.
  • Proficient in using basic office software (e.g., Microsoft Office Suite) and computer systems/skills.
  • An interest in psychology, counseling, the behavioral sciences, social work, or healthcare is strongly encouraged.

Working Conditions:

  • The Mental Health Receptionist typically works in a clinical or office setting. They may spend long periods of time sitting at a desk and using a computer.
