Human Resources Coordinator
Summary
The Human Resources Coordinator provides general HR front desk coverage including greeting guests, answering and directing incoming calls, maintaining supplies and reception area appearance, as well as mail distribution. This position also provides a variety of administrative duties in support of the HR department. This role is very diverse and requires the ability to multi-task, take independent initiative, properly organize and prioritize to meet deadlines, while managing competing priorities. Must embrace an exceptional guest service philosophy and function with a high degree of confidentiality and professionalism.
Responsibilities
- Greets in person guests with a friendly, warm, and welcoming approach
- Answers incoming calls promptly and exudes great customer service
- Presents a positive and professional representation of the company culture
- Maintains an orderly workspace, HR common area and filing room
- Files HR documentation timely and in the appropriate location
- Manages, maintains and troubleshoots office equipment, systems and processes
- Trains Team Members on proper operation and handling of equipment
- Conducts regular inventory of supplies, suggests cost-saving options as available and places orders for needed items with prior management approval
- Receives/distributes incoming office mail and sends outgoing office mail in a timely manner
- Assists with translating documents into Spanish and serves as a translator for HR individual and team meetings
- Types memos or other correspondence and/or makes copies
- Identifies, recommends, and helps to implement solutions for interdepartmental operational processes
- Effectively communicates with Team Members of all levels and applicants, answering their questions or directing them to the correct person as appropriate
- Provides HR process support, which may include scheduling appointments, maintaining records, and providing process-related guidance and information to Team Members
- Coordinates HR Management’s calendars, scheduling appointments with inquiring Team Members or leaders as appropriate
- Assists with the hiring process, which includes posting job requisitions to external platforms, pre- screening, corresponding with applicants, setting up interview and/or gaming appointments and participating in internal job fairs
- Responsible for conducting New Hire Orientation, including but not limited to, scheduling the meeting room, communicating with the appropriate facilitators, preparing paperwork, and verifying/completing I-9 documentation according to federal guidelines, prepping sign-in sheets and swag bags
- Takes the lead on internal team building or appreciation events, including but not limited to, scheduling the meeting rooms, coordinating logistics, collateral, BEOs, set-up and tear-down
- Works with vendors to organize and execute HR-related events
- Will become knowledgeable about a wide range of HR team matters and serves as a backup for the wardrobe department.
Qualifications/Education/Experience
- High school diploma or GED equivalent
- Bi-lingual in Spanish is required
- Proficiency with Microsoft Office Outlook, Word and Excel is highly preferred
- 1-3 years of customer service experience is required
- 1-3 years of HR administrative experience is preferred
- Previous experience with an HRIS in an HR capacity is preferred
- Must be able to obtain and retain a Gaming License from Augustine Gaming Commission
