Municipal Court Clerk Assistant

JOB TITLE:            Municipal Court Clerk Assistant                   RANGE:        N/A – Limited Term

$26.00 - $28.00 DOE

   4-6 hours daily, M-F

PURPOSE OF POSITION: 

Perform a variety of administrative tasks supporting Municipal Court operations, contributing to the efficiency of, and ensuring accurate processing of, cases through the court system.  Handles confidential matters with discretion while excelling in all areas of customer service internally and externally.  Acts ethically, honestly, and with integrity in servicing the court and its customers, and in accordance with direction from the Court Clerk and Judge on legal matters. 

ESSENTIAL JOB FUNCTIONS:

  1. Complete routine clerical duties requiring functional use of a computer, demonstrate the ability to acquire proficiency with various software platforms. Attend court sessions and provide support for court proceedings for data entry, and provide information and forms as requested. 
  2. Respond to court-related inquiries received by phone, in person, or by mail in a prompt, professional, and courteous manner while maintaining a positive customer service demeanor. Maintain a high level of internal and external customer service through professional and courteous behaviors and creative problem solving.
  3. Exemplary attendance is essential to this position. Consistent and regular attendance and adherence to scheduled working hours is imperative due to the nature of this position, specifically court.
  4. Effectively and clearly communicate to others verbally in-person and in both electronic and physical written form.
  5. Follow all safety rules and procedures established for work areas; maintain safe work habits and contribute to the safety of self, co-workers, and the general public.

AUXILIARY JOB FUNCTIONS:

Provide clerical support within the Executive Department as workload and/or staffing levels dictate.

QUALIFICATIONS:

Knowledge of

  • Knowledge of basic record keeping and filing systems.
  • Proficiency with Microsoft Word, Excel, Outlook, Teams, Adobe, and Zoom
  • Customer service principles, practices, and methods
  • Techniques for providing a high level of customer service to the public and City staff
  • Modern office practices and methods, computer equipment, and software applications

Ability to:

  • Learn City/departmental procedures, and applicable laws
  • Maintain confidentiality
  • Communicate effectively, both orally and in writing 
  • Prioritize workload independently
  • Demonstrate strong organizational and time management skills
  • Demonstrate strong customer service skills and be able to tactfully and courteously work with angry and/or hostile clientele
  • Exercise discretion in confidential and sensitive matters
  • Manage a high volume of tasks at one time, including organizing and prioritizing work
  • Maintain files and recordkeeping systems; compose reports, correspondence, and other office documents
  • Operate office equipment and technology tools including personal computers, laptop computers and printers, copiers and presentation equipment
  • Physically perform the essential job functions

Desired: Bilingual (Spanish or Russian)

EXPERIENCE AND EDUCATION:

The applicant should be able to demonstrate any equivalent combination of education and experience that provides them with the knowledge, skills and abilities required to perform the essential job functions. A typical way to obtain the required knowledge and abilities would be to possess a High School diploma or equivalent and one to two years of related work experience. 

 

PREFERRED: Experience with legal terminology; prior experience in local government, courts and/or legal or paralegal work.

 

SPECIAL REQUIREMENTS/LICENSES:

Ability to obtain, possess and maintain Basic CJIS Security Awareness clearance and training.

WORKING CONDITIONS:

Duties are primarily performed in an open office environment.  Position may encounter frequent interruptions.

SUPERVISORY RESPONSIBILITIES:

Supervision is not a typical function of this position.

SUPERVISION RECEIVED

Works under the supervision of the City Recorder; receives instruction, guidance, direction and training from the Municipal Court Clerk; and takes direction from the Judge regarding court procedures.
