We are a San Diego-based event promotions company known for producing unforgettable experiences—from large-scale festivals and brand activations to VIP galas, themed parties, and cultural celebrations. Our events spark conversation, build community, and bring energy to the city, and we’re looking for a full-time Event Coordinator to join our dynamic team.
About the Role:
As an Event Coordinator, you’ll play a key role in supporting the planning, production, and execution of events. You’ll collaborate with internal team members, vendors, sponsors, and partners to bring ideas to life and ensure every detail is dialed in from concept through execution. This is a fast-paced, hands-on role ideal for someone who thrives under pressure, loves logistics, and has a passion for live events and organized chaos.
Key Responsibilities:
- Assist in planning and coordinating all aspects of event logistics, including permitting, vendor management, staffing, timelines, and on-site execution
- Solicit new business opportunities, vendor relationships, and sponsorship leads to support the growth of our events and client offerings
- Research and outreach to local businesses for event participation, activations, and vendor engagement
- Work directly with clients, sponsors, and partners to ensure deliverables are met
- Maintain and update event production schedules, task trackers, and event documentation
- Support day-to-day coordination across marketing, PR, and creative teams
- Help manage vendor communications, quotes, contracts, and load-in/load-out details
- Participate in walkthroughs, meetings, and site visits as needed
- Assist with budget tracking, invoice approvals, and event reconciliations
- Coordinate on-site event staff and volunteers, providing support and direction
- Maintain excellent communication and problem-solving during event days
- Stay up-to-date on local event trends, permitting requirements, and city regulations
Qualifications:
- 2+ years experience in event production, coordination, or project management (preferred)
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to multitask and manage deadlines in a fast-paced environment
- Comfortable working long hours, evenings, and weekends during events
- Proficient in Google Workspace and project management tools (e.g., Trello, Airtable, Asana)
- Calm under pressure with a solutions-first mindset
- Local San Diego knowledge is a plus
- Must have a valid driver’s license and reliable transportation
