Office Manager

We are seeking an organized and proactive Office Manager to join our corporate office at FiberLight. The Office Manager will play a key role in maintaining smooth office operations, oversee event management, assist with employee onboarding, and coordinate the company fleet. The ideal candidate will demonstrate exceptional organizational and time management abilities, with a proactive and positive mindset to maintain company culture. 

 

Key Responsibilities

Facilities Operations & Administrative Support

  • Oversee the day-to-day office operations, ensuring a well-organized, functional, and professional environment
  • Manage office supplies inventory, ordering new stock as necessary and ensuring cost-effective purchasing
  • Serve as the main point of contact for office inquiries, mail, handling communication with vendors, employees, and visitors
  • Coordinate office maintenance, ensuring cleanliness, safety, and efficiency in all areas of the office space
  • Assist in the preparation and organization of internal meetings, presentations, and office communications
  • Handle confidential information and documentation with discretion and integrity

Event Management

  • Assist in planning, coordinating, and executing company events and meetings
  • Liaise with internal teams and external vendors to ensure smooth event logistics, including venue selection, catering, and event materials
  • Manage budgets for events, submit expenses and ensure adherence to the allocated budget
  • Ensure all events are compliant with company policies, branding guidelines, and health & safety standards

Fleet Coordination

  • Coordination of company fleet, by monitoring and maintaining internal records of fleet drivers, ensuring that vehicles are tracked and utilized efficiently
  • Assist in employee vehicle assignments during onboarding, ensuring all transportation requests are met in a timely and organized manner
  • Maintain accurate records of all fleet-related documentation, including insurance, vehicle registration, and maintenance schedules

 

Qualifications

  • Strong project management skills with the ability to handle multiple tasks and meet deadlines
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software
  • Experience in managing vendor relationships and coordinating with external partners.
  • Detail-oriented with excellent problem-solving abilities
  • Ability to work independently and as part of a team in a fast-paced environment

Preferred Skills:

  • Strong interpersonal skills and the ability to work with individuals at all levels of the organization

 

Work Environment:

Full-time in-office position with regular office hours Monday-Friday
