JOB OVERVIEW
GENERAL PURPOSE
Under the general supervision of the Diversion Supervisor or designee, performs a variety of semi-skilled clerical, secretarial, and administrative work related to departmental operations requiring moderate responsibility and independent judgment.
ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES
ESSENTIAL FUNCTIONS
Greet and check in clients, schedule and coordinate appointments for departmental staff.
Answer calls in a professional and courteous manner, collect and deliver messages, route callers to appropriate party.
Establish and maintain effective working relationships with clients, supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies, and the general public.
Coordinate and schedule educational training sessions with staff and any outside vendors. Maintain class calendar and coordinate all communication efforts with instructors throughout the year.
Ability to maintain and protect confidential and sensitive information
Accept payments for diversion programs, balance drawers on a daily basis, and prepare funds for deposit.
Make simple postings to accounts; coordinate payables with Victim Witness and process Accounts/Payables for Department.
Process and distribute incoming and outgoing mail.
Enter data into various systems, including but not limited to Case 365, ensuring accuracy and completion in a timely manner.
Maintain records and statistics relevant to departmental operations and metrics.
Establish and maintain filing systems for adult and juvenile cases which are both computer based and physical documents.
Organize, and maintain all necessary paperwork, reports, files, etc. for the audit.
Perform other office related tasks (e.g., ordering supplies, etc.), obtaining proper approvals as needed.
Assist Victim Witness and/or County Attorney’s Office to determine restitution payout, track payments in Excel and create memos in Case 365 to be approved by the officer regarding the details of the restitution.
Performs all clerical duties necessary to facilitate random drug testing.
Organize and maintain all necessary documentation for yearly audit.
Assist in the transfer of files to and from the Diversion Office.
Report to work with regular, predictable, and consistent attendance.
Peripheral Duties
Serve as a member of various committees as assigned.
Perform other duties as directed and assigned.
MINIMUM QUALIFICATIONS
Education and Experience
High school diploma or GED required.
Two (2) years of experience as a secretary or receptionist working directly with the public required. Legal Secretary experience preferred.
Post-secondary education in Criminal Justice or similar field preferred.
Must be able to type at 40 net words per minute (nwpm).
Bona fide work experience involving face to face public contact, customer service, cash handling and advanced administrative skills required
Necessary Knowledge, Skills and Abilities
Advanced knowledge/certification in computer software and operating systems to include, but not limited to: Microsoft Office, Case 365, Justice, NCJIS, and NCIC.
Working knowledge of current office practices and procedures
Knowledge of proper English usage, including spelling, grammar and punctuation
Knowledge of accounting and recordkeeping procedures
Effective communication skills
Ability to perform cashier duties accurately
Ability to maintain confidentiality
Ability to effectively meet and deal with the public
Ability to work under pressure and/or frequent interruptions
Ability to navigate stressful situations while maintaining composure
Ability to understand and follow exacting verbal and written instructions

The employee must occasionally lift and/or move up to 30 pounds.
Required sensory abilities include vision and hearing. Visual abilities, correctable to normal ranges, include close and color vision as well as the ability to adjust focus. Communication abilities include the ability to talk (i.e. verbal exchange / exchange information) and hear (i.e. exchange information accurately) within normal ranges. Incumbent must be able to exert sustained concentration for several hours at a time.
Work is performed indoors in an office setting. Work hours may include evenings, weekends, call-ins, and holidays. Work may be fast-paced when dealing with multiple priorities and time constraints. The noise level is typically moderate.
