GENERAL SUMMARY
The Facilities Manager is responsible for planning, organizing, developing and improving the facilities operation, processes, and infrastructure in accordance with policies and procedures, current federal, state and local standards, guidelines and regulations governing the assigned facility to ensure the facility is maintained in a safe and comfortable manner.
KEY RESPONSIBILITIES
• Direct a staff of facility maintenance, environmental services and materials management in the fulfillment of project assignments, within budget, with quality and on schedule:
• Supervise a staff that involves direct and indirect responsibilities for interviewing, selection, training, motivating, performance evaluations, wage and salary administration, developing goals, and developing procedures to ensure achievement of goals
• Oversee projects related to quality improvement and process improvement within departments oversight
• Ensure all patient facing staff provide outstanding customer centric service in all patient interactions via monitoring through customer survey metrics and patient feedback
• Maintain safe working conditions and practices throughout the facility
• Insure employees are trained in proper work practices when they are oriented to the unit and continue safety and infection control training on a regular basis
• Monitor staff to assure that they are following established safety and infection control policies and procedures including body mechanics and ergonomics
• Evaluate safe work practices in job performance reviews
• Ensure regulatory compliance by participating in environment of care rounding, document destruction, as well as CMS, The Joint Commission, NFPA, and FGI guidelines
• Provide support for all renovations and new construction projects working in conjunction with the Sr. Facilities Manager:
• Work on project development by assisting with all project design and reviews as related to environmental services, facilities and materials management
• Oversee budget management on all new development projects as they relate to environmental services, facilities and materials management
• Provide fiscal management for facility maintenance, environmental services and materials management operations to ensure proper utilization of financial resources:
• Prepare and plan operating and capital budget, and forecasts needs as appropriate
• Manage lease facilities including facilities or space leased/owned
• Define expectations and develop project timeline to ensure all projects are completed on time minimizing delays and added expenses
• Purchase equipment and supplies as necessary or as may be required
• Participate in selection of, and manages work of, required consultants
• Ensure safety of all patients, visitors, and staff:
• Ensure building security by servicing door locks and key control
• Oversee the maintenance for all employee door access keypads, etc.
• Ensure maintenance of all electronic security systems - to include Code Alerts, Protect, etc.
• Monitor and ensure appropriate access to secure areas through employee badging
• Serve as an active member of Quality Assurance Committee, Infection Prevention Committee, and Safety Committee
• Actively participates in Environment of Care (RISK) rounds; ensures timely documentation and collaborates with the Manager of Emergency Preparedness and other departments to resolve findings.
• Coordinate telecommunication systems and act as primary contact for all service and maintenance with HSIS:
• Ensure that Physical Plant staff is adequately trained in the areas of telephone and communications systems
• Provide oversight and coordination of contractor telecommunications support, as directed
• Provide administrative support to Administration as needed to improve customer service and quality:
• Acquire training to maintain and enhance technical and service delivery of interdepartmental and external resources
• Generate ad hoc reports as requested from supporting information and databases.
• Chair Cooper Green Mercy Health Services Authority Space Allocation Committee
• Develop job related knowledge, skills and abilities:
• Develop effective team relationships within Strategic, Corporate, and Support Units
• Become thoroughly familiar with physical plant services, office standards, policies, and procedures
• Participate in continuing educational opportunities for personal growth and development
• Research customer service principles, process improvement, methodologies, business process analyses, and project management principle.
• In an effort to improve quality of care and enhance efficiency, the role will:
• Analyze existing business processes and develop strategies for improvement
• Implement, monitor, and upgrade the improved processes,
• Document all process changes and updates
• Monitor the impact of process changes and make adjustments as necessary
• Prepare and present reports on the progress and impact of process improvement initiatives
• Other Duties as assigned.
Position Requirements:
MINIMUM QUALIFICATIONS
• REQUIRED: Bachelor of Science, and three (3) years of progressive experience and responsibility. Experience/technical training in plant engineering or project management may substitute for degree requirement.
• KNOWLEDGE/SKILLS/ABILITIES: Must have the ability to define problems and resolve them quickly. This position requires strong supervisory skills, coupled with excellent oral and written communication skills. Must have the ability to work well with ever changing priorities and/or situations. Must be a self-starter who can work well with people at all levels both in and out of the facility.
CERTIFICATES/LICENSES/REGISTRATIONS ETC.
• BLS – required
• Certified Facility Manager (CFM) offered by International Facility Management Association (IFMA) – preferred
• Certified Healthcare Facility Manager (CHFM) offered by The American Hospital Association (AHA) – preferred
• OSHA 30 – Hour Certification – preferred
WORK ENVIRONMENT
This role may require lifting up to 50 lbs.
The work location for this role is onsite.
