Administrative Assistant

We are seeking a proactive and detail-oriented Administrative Assistant to support our team with day-to-day operational and administrative functions. This individual will play a key role in managing client communications, organizing deal documentation, maintaining internal systems, and assisting with various team needs.

Key Responsibilities:

  • Client Communication Management:
    • Serve as the first point of contact for client inquiries via email and phone.
    • Direct incoming communications to the appropriate team members.
    • Ensure timely and professional responses to all external and internal inquiries.
  • Deal Setup and Organization:
    • Create and maintain deal folders on the local drive following company protocols.
    • Accurately set up deals in the company’s internal systems to ensure data consistency.
    • Ensure all related documentation is filed and updated in a timely manner.
  • Tracking and Monitoring:
    • Maintain and update a tracking system for annual surveillance deals.
    • Follow up with relevant stakeholders to ensure compliance with deadlines and requirements.
  • Team Support:
    • Provide administrative support to team members as needed.
    • Assist with scheduling, documentation, internal communication, and other ad hoc tasks.

Qualifications:

  • Proven experience in an administrative or support role, preferably in a corporate or professional services environment.
  • Strong organizational skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel) and file management systems.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Self-motivated with a professional attitude and strong work ethic.

Preferred Qualifications:

  • Experience with internal database systems or deal tracking software is a plus.
  • Prior experience in a finance, legal, or consulting environment is an advantage.
