
Administrative Assistant
We are seeking a proactive and detail-oriented Administrative Assistant to support our team with day-to-day operational and administrative functions. This individual will play a key role in managing client communications, organizing deal documentation, maintaining internal systems, and assisting with various team needs.
Key Responsibilities:

Client Communication Management:
- Serve as the first point of contact for client inquiries via email and phone.
- Direct incoming communications to the appropriate team members.
- Ensure timely and professional responses to all external and internal inquiries.

Deal Setup and Organization:
- Create and maintain deal folders on the local drive following company protocols.
- Accurately set up deals in the company’s internal systems to ensure data consistency.
- Ensure all related documentation is filed and updated in a timely manner.

Tracking and Monitoring:
- Maintain and update a tracking system for annual surveillance deals.
- Follow up with relevant stakeholders to ensure compliance with deadlines and requirements.

Team Support:
- Provide administrative support to team members as needed.
- Assist with scheduling, documentation, internal communication, and other ad hoc tasks.
Qualifications:
- Proven experience in an administrative or support role, preferably in a corporate or professional services environment.
- Strong organizational skills with keen attention to detail.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel) and file management systems.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Self-motivated with a professional attitude and strong work ethic.
Preferred Qualifications:
- Experience with internal database systems or deal tracking software is a plus.
- Prior experience in a finance, legal, or consulting environment is an advantage.
