The Institutional Advancement Office at the College of Saint Benedict invites applications for a full-time (1.0 FTE), benefit-eligible position of Alumnae Engagement Associate.

Reporting to the Executive Director of Advancement Systems, the Alumnae Engagement Associate (AEA) will serve as a member of the Advancement Systems team within the Office of Institutional Advancement (IA) at College of Saint Benedict (CSB). The AEA is responsible for assisting with the development and implementation of a comprehensive engagement strategy that includes activities that are valued by alumnae, build enduring and mutually beneficial relationships, inspire loyalty and financial support, strengthen the college’s reputation and involve alumnae in meaningful activities to advance the college’s mission. At the intersection of alumnae relations, annual giving and advancement services, this position will work collaboratively across all areas to drive strategy that meets CSB IA’s engagement goals.

The posted wage represents CSB and SJU's good faith estimate of likely compensation at the time of posting. Actual pay will be dependent upon several factors, including the candidate's experience, qualifications, and skills, and may fall outside of the range indicated.

 

Responsibilities

  • Assist in creating and maintaining a comprehensive system to effectively engage and solicit constituents, including alumnae, with tailored opportunities. Collaborate on segmentation strategies for alumnae relations and annual giving, and generate and analyze queries, exports and reports to support outreach efforts.
  • Collaborate with the Advancement Systems team to implement and support a data integrity plan, conducting regular audits and assessments to ensure data accuracy. Foster data-driven engagement practices and proactively identify opportunities for improvement.
  • Serve as the initial point of contact for the Alumnae Relations Office, delivering exceptional customer service through timely and knowledgeable responses to all constituent inquiries.
  • Recruit, hire, train, supervise, mentor and evaluate alumnae relations student employees to foster skill development. Develop and maintain a comprehensive student training curriculum and oversee project management to ensure high-quality student work.
  • Collaborate with internal teams to coordinate Reunion Weekend logistics, including supply orders, signage, housing assignments, and vendor coordination. Ensure smooth event execution by overseeing registration, setup, and managing event materials (e.g., nametags) and addressing additional logistical needs.
  • Partner with Advancement Services to refine and update engagement evaluation tools, such as the Alumnae Engagement Scoring Model, and communicate insights and strategies learned from those tools to cross-functional team members.
  • Manage activity coding and outreach for all College of Saint Benedict constituent activities, ensuring accurate historical records and insightful engagement analysis, including tracking, documenting, and reporting volunteer hours.
  • Assist with marketing efforts in analyzing engagement and fundraising to improve performance. Participate in the coordination of the marketing and communications calendar for all alumnae relations programming and annual giving solicitations.
  • Manage communication tools, including updating the alumnae relations event schedule on the department website, and prepare event materials, such as check-in sheets and nametags, in collaboration with the Student Event Assistant.
  • Assist with the management of alumnae relations’ department and project budgets by tracking revenue, expenses, and encumbrances. Monitor and analyze monthly budget updates and assist with payment processing.
  • Other duties as assigned.

 

Qualifications

  • Bachelor’s degree or an equivalent combination of education and experience.
  • Experience in advancement or a related field.
  • Experience in a customer service setting.
  • Experience in distilling data and biographical information into actionable strategies and recommendations.
  • Proficiency in MS Office and customer relationship management (CRM) database management, with technical skills for developing queries and reports.
  • Excellent analytical and problem-solving skills.
  • Excellent documentation skills, ensuring accurate and organized records, reports and guides.
  • Effective verbal and written communication skills.
  • Strong project management and planning skills, with the ability to manage people, processes, deadlines, and budgets while adhering to organizational policies.
  • Capable of handling multiple priorities and solving problems with a positive and constructive attitude.
  • Ability to motivate team members, support the vision, and collaborate to achieve team goals.
  • Demonstrated ability to work collaboratively within a complex environment and build positive and strategic relationships with internal and external clientele.

PHYSICAL REQUIREMENTS: 

  • Requires working at a computer for extended periods, including typing, reading from a screen, and using various software programs essential for the role.
  • Occasionally required to lift or move items up to 25 pounds.       

TRAVEL REQUIREMENTS:

  • Occasional regional travel to represent the college at evening and weekend events.
