Receptionist - District Office (TEMPORARY)

This position will cover a temporary leave of absence from: May 15, 2025 - October 16, 2025 (actual end date is subject to change)

Start Date: AS SOON AS POSSIBLE

Monday - Friday 40.00 hours per week (averaging 8.0 hours per day) 

Work Hours: 8:00 AM - 4:30 PM

SUMMARY Under general supervision, receives and routes office visitors to appropriate department, performs a variety of general clerical duties; and to do job-related work as required. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Works under general supervision, and with only occasional instruction or assistance; receives and routes office visitors to appropriate department; gives routing information to the general public; answers and routes telephone calls to appropriate departments; receives, sorts, and distributes district office mail and packages; assists in the collection of developer fees; assists with parcel tax applications; assists with a variety of reports; enters all inter- and intra-District transfers into the Student Information System (SIS); works with the Assistant Superintendent, Student Services in handling all transfer paperwork; assists with Petaluma Transit bus ticket sales; handles the shipping needs for the District through UPS and FedEx; assists in the maintenance of the master calendar of District activities and meetings; maintains a variety of documents and spreadsheets in Google Docs, Excel or other similar programs and performs a variety of general and routing clerical duties. Within a framework of established procedures, is expected to perform a wide variety of moderately difficult and complex clerical work, most of which requires the use of a computer; operates duplicating machines and other office equipment; adequate performance at this level requires a knowledge of departmental procedures and precedents; work is normally reviewed only on completion and for overall results. The employee in this position does a wide variety of clerical work including posting, typing, work processing, proofreading, filing, checking and recording information on records; may compose and type routing letters, memoranda, bulletins or other material from oral direction, rough draft, copy of notes; collects and accounts for monies received; maintains alphabetical, index and cross-reference files; collects, verifies, sorts, tabulates and files a variety of documents, records, data and information according to predetermined classifications; enters routine data related to assigned office and/or program operations into computer; calculates, posts to and maintains records associated with assigned office functions; verifies account balances; performs arithmetical calculations; composes e-mails; mails out letters, forms and applications; receives, sorts and distributed incoming and outgoing mail; assists in making out forms; prepares statistical and financial reports. 

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must possess knowledge of modern office practices and procedures, including the preparation of business correspondence, filing and modern office equipment, including a knowledge of a variety of software programs and applications; knowledge of property spelling, punctuation, and arithmetic; must be able to type at a speed of no less than 40 words per minute; must have the ability to deal effectively with a wide variety of personalities and situations requiring tact, good judgment, and poise; able to take responsibility, follow directions as appropriate, and use good judgment in recognizing scope of authority. 

EDUCATION and/or EXPERIENCE One year of clerical and/or receptionist experience preferred. LANGUAGE SKILLS Must have ability to spell correctly and knowledge of correct English usage. Ability to effectively respond to questions from staff, clients and the general public. 

MATHEMATICAL SKILLS Must have ability to perform simple arithmetic calculations. 

REASONING ABILITY Must have ability to analyze situations accurately and adopt an effective course of action as well as the ability to choose amount a limited number of alternatives in solving routing problems.
