Executive Assistant, Academic Affairs and Workforce Development

LOCATION: Green Bay

STANDARD HOURS: 40 hours per week. Typical hours Monday - Friday 8:00 am - 5:00 pm; Flexibility required to include other evening and/or weekend hours, as necessary.

SALARY RANGE: $29.93 - $32.25 per hour

*Salaries/Wages for all finalists (internal and external) will be placed within the range based upon education, experiences, current wages, and internal equity.

 

POSITION SUMMARY 

An Executive Assistant at Northeast Wisconsin Technical College (NWTC) is a strategic role that provides high-level administrative support to the Vice President and Associate Vice President of Academic Affairs and Workforce Development.  This position requires a proactive approach to anticipating needs while managing complex schedules, tasks, and conflict resolution. This role ensures the efficient operation of the executive offices, while also serving as the primary liaison to internal and external stakeholders. The Executive Assistant requires exceptional organizational and communication skills, discretion, and professionalism.

Essential Functions Statement(s) 
Executive Support:

  • Manage complex schedules to ensure efficient time allocation
  • Prioritize tasks to effectively meet deadlines in a dynamic environment
  • Draft, review, and distribute internal communications, announcements, and newsletters
  • Organize and streamline meeting processes with efficient scheduling, agenda preparation, and maintaining accurate meeting records for divisional, state, and partnerships
  • Assist in coordinating divisional activities and projects in support of the College mission and strategic goals
  • Gather and analyze data to create engaging reports and presentations
  • Support budget preparation and deliver accurate and timely expense reporting
  • Coordinate travel and provide detailed itineraries

 

Communication:

  • Develop and implement effective communication strategies to support the College vision and strategic goals.
  • Correspond and communicate with business partners, legislators, elected officials, and the Wisconsin Technical College System.
  • Serve as the liaison to internal/external stakeholders
  • Ensure smooth day-to-day operations.
  • Anticipate needs and resolve conflicts.
  • Handle confidential documents and information with the utmost discretion.

 

Event Coordination:

  • Organizing and managing events, conferences, and/or divisional activities.
  • Handling logistics, including venue booking, catering, and materials preparation.

 

Other Duties:

  • Maintaining records, databases, and electronic filing systems.
  • Establish efficient processes and document procedures.

 

MINIMUM QUALIFICATIONS AND WORK EXPERIENCE

  • Associate’s degree 
  • Four years’ related experience
  • Excellent writing and editing skills
  • Strong interpersonal and communication skills
  • Strong organization and time management skills
  • Ability to work under pressure and meet deadlines
  • Discretion and professionalism in handling sensitive information
  • Demonstrated ability to work independently and remain calm under pressure
  • Advanced knowledge of Microsoft Office Suite, including Teams
  • Technical and troubleshooting skills a plus
  • Must hold a valid driver’s license and be insurable under the District’s standard insurance policy terms.
