Administrative Aide Job Summary
The Administrative Aide for the Mobile GR Department provides essential administrative support to ensure the smooth operation of the Mobile GR Department. This role combines traditional administrative communications duties, such as handling resident escalations and supporting internal communications with opportunities to engage in local government processes, including policy development, research, and operations management. The position also involves managing key office systems and tools to enhance efficiency and collaboration. Responsibilities
Administrative Support
- Attend meetings to take detailed notes, prepare minutes, and track action items.
- Monitor and respond to customer concerns utilizing internal service response ticketing system processes (Zendesk) to ensure timely and customer-service focused responses.
- Assist in project administration with internal project management tools (Monday.com) to streamline operations.
- Respond to phone calls, emails, and inquiries, ensuring prompt and professional communication.
- Organize and maintain departmental records, correspondence, and documentation.
Policy and Project Support
- Conduct research to support policy initiatives, transportation projects, and City Commission/City Manager requests.
- Assist in drafting, reviewing, and organizing departmental processes, procedures, SOPs, and customer service scripts.
- Collaborate with staff to analyze data related to transportation systems, micromobility programs, parking operations, and dispatch reports for trends and process improvement opportunities.
- Assist in the development of process improvement plans and performance management across the department.
Learning and Professional Development
- Gain insight into local government operations, including transportation planning, parking systems, and public policy.
- Participate in workshops, training sessions, and city-led initiatives to build skills and understanding of municipal processes.
- Shadow team members and participate in cross-departmental projects to broaden knowledge and experience.
