Japanese/English Interpreter/Translator to the President 


Position Summary:

Provide secretarial and administrative support to the AWC President. Facilitate communications between English and Japanese speaking persons by interpreting conversation and conferences and translating documents. Provide language and some administrative support to Japanese advisors.


Scope of Responsibility:

Secretarial and translation work for the President. Communication support to all employees. Language and administration support to all Japanese advisors.


Essential Duties & Responsibilities: (Daily Management Secretary to President)

  • Prepare a Japanese version of minutes of operational and business conference held in English. (Please note that a person with certain qualifications can perform this task. Please refer to Education/Experience part of this date sheet.)
  • Coordinate activities between President and managers or other supervisory personnel.
  • Draft letters in English for President signature.
  • Translate legal and financial correspondence, and production/manufacturing business documents from English to Japanese or vice versa.
  • Make travel arrangements.

Translator (Japanese and English)

  • Interpret conversations/meetings and translate documents. (Legal, financial, manufacturing, medical, administrative, school, and domestic items)

Administrative support to Japanese advisors

  • Language assistance: interpret and translate conversations and documents relating to business and some domestic issues (letters and memos from schools, banks, licensing office, etc.)
  • Arrange house/apartment, utilities, automobile and house insurance for a new Advisor.
  • Assist school registration and meeting with teachers during normal working time.
  • Accompany Advisors to medical institutions and provide interpret conversations.
  • Prepare AWC HR and legal documents (SS and IRS ITIN number application, etc.) and accompany to the places for personal appearance.
  • Make travel arrangements, including air tickets, limousine, etc.
  • Performs similar or related duties as assigned

Improvement Activities:

  • Applies Deming principles and other root cause analysis tools when analyzing problems within the associate's department and makes appropriate recommendations for improvements.
  • May participate in Quality Circle improvement team when possible.
  • Performs other related improvement functions as assigned

Education/Experience/Training (minimum required):

  • Bilingual Secretary to President: General secretarial work should require at least 3 years' experience as executive secretary. However, preparation of meeting minutes should require a four-year college degree to be able to reflect a professional level of language in her/his work products. Meetings tend to cover a wide range of subjects, including manufacturing, legal, financial business issues. Therefore, actual work experiences with knowledge and good understanding of business, legal, financial concepts are strongly desirable for a clear understanding meeting subjects and prepare minutes.
  • Translator: This also applies to translations because the first step for a good work product of translation (both oral and in writing) is a clear understanding of the subjects of the conversation or document beside language skills. So, actual work experiences are much more beneficial than only knowledge of words. And only experienced translators can produce their work product in a cost effective and timely manner to meet the requester’s needs and satisfaction: oral summary, written summary, word-for-word translations, verbatim oral translation.
  • Administrative support to Japanese advisors: the assistant should have been lived in this country at least for 3 to 5 years in order to: assist Japanese advisors who are not familiar with U.S. customs and culture; handle and resolve business and domestic matters, including doctors and schooling.
