Operations Specialist

The Operations Specialist is a key role responsible for supporting the office and the complex daily operations including staff events, staff culture building activities and meeting administration. This role works in an operational support capacity within the WorkSource system, which provides various employment services to clients in an interwoven system of both government and non-profit partners. In this role the Operations Specialist will provide administrative support and provide excellent customer service to internal staff.

The Operations Specialist duties require a self-starter who enjoys communication, readily takes ownership, and leads with energy and enthusiasm to help move the business forward. This person will be a catalyst for positivity and is someone who is eager to raise their hand and has an inquisitive approach to ambiguity.
This role is full time and will be in person based out of our Silverdale, WA office. This role involves working at multiple job sites including Silverdale, Sequim and other Jefferson County offices.

ABOUT THE JOB
The major responsibilities of this position include, but are not limited to:
Employee Engagement Support:
- Support initiatives to enhance employee engagement and satisfaction for the system and with guidance with the Council and POST team Manager
- Supports and coordinates staff events, activities, and programs to foster a positive workplace culture.
- Facilitate regular staff meetings including agenda creation, logistics coordination, identifying and scheduling presenters, scheduling necessary training topics as directed by the council
- Support gathering critical system updates, agenda maintenance, note taking and project management of regular center meetings.
- Support the region’s EO officer by tracking training and supporting with site monitoring
- Communicating CQI initiatives.
Facilities & Operations Support:
- Oversee day-to-day operations related to the physical workplace, including office space and Infrastructure Agreement collection
- Provide additional support with building managers to address maintenance or ADA compliance and repair needs promptly.
- Collects information from regional partners and data sources to create reports for the council and board.
- Initiates Continuous Quality Improvement conversations with center partners to address service delivery trends.
Center Support:
- Help support a system wide shared calendar for front end coverage and regular updates.
- Provide greeter services as needed and triage customers, providing first point of contact guest services by engaging every guest within minutes of arrival.
- Drive customer satisfaction data collection including developing strategy, tracking results, and continuous quality improvement measures.
- Regularly assess staff needs and reports findings to council. Develop community partnerships to address needs identified by staff.
- Produce a regular communication for staff and community partners highlighting WorkSource impact and current events.
- Reviews customer trends via the system referral tool and reports to the council and system leadership.

EXPERIENCE/POSITION REQUIREMENTS
Required
- High School Diploma, GED or equivalent
- 2-3 years of demonstrable experience in operations, human resources, facilities management, workplace experience, transferable skills in a related field.
- Strong organizational skills, process driven and keen attention to detail.
- Excellent customer service skills, superior communication skills and great time management skills
- Demonstrated ability to effectively communicate verbally and in writing with internal and external organizations in a way that conveys a positive, helpful image.
- Working knowledge of Microsoft Office 365 Suite, Google Suite, and web content management systems.
- Outstanding project and time management skills and the ability to juggle multiple projects simultaneously.
- Must be able to work in a culturally diverse and fast-paced environment and demonstrate a commitment to cultural respect.
Preferred
- More than 3 years of experience in operations, transferable skills, or experience in related fields.
- Demonstrated success working with people from a variety of backgrounds which may include disabilities, criminal history, homelessness, family violence, poverty etc.
- Advanced working knowledge of project management software tools or project management certification(s)

Job: Operations Specialist
Primary Location: Silverdale, Washington (Olympic Region)
Salary: Salary range for job offer: $55,000-61,000 annually, DOE, plus benefits. Full annual salary range for lifetime of position: $55,000-81,000.
