Receptionist and Office Support

Position Purpose:

Perform reception, facility, mail/shipping and other various office support, and clerical duties.

 

Education/Experience Requirements:

  • High School Diploma. College coursework or degree a plus.
  • Two years’ general office experience with emphasis on reception, multi-line phone system, mailing/shipping, scanning, copying, filing, and clerical support duties.

 

Knowledge and Skill Requirements:

  • Demonstrate a professional telephone voice and etiquette
  • Working knowledge of MS Office (Word, Excel, Outlook)
  • High level of accuracy and attention to detail
  • Excellent verbal and written communication skills
  • Ability to respect and hold confidential information
  • Effectively work as a team member and independently as required
  • Professional, dependable, cooperative, flexible

 

Responsibilities:

  • Reception:
  • Perform receptionist duties during primary receptionist’s daily breaks and work absences.
  • Act as primarily receptionist when there is turnover in the receptionist position.
  • Maintain current working knowledge of, and ability to execute, all receptionist duties and procedures, including transfer of phones to other offices and end-of-day processes.
  • Facilities:
  • Manage facility maintenance requests.
  • Manage facility upkeep, including inspection and reporting of building issues, ordering, and stocking of building areas
  • Office Support:
  • Ensure outgoing mail & shipping is properly processed on a timely basis.
  • Vendor Interfaces:
    • Manage and maintain relationships with various outside vendors
    • Assist with researching and ordering corporate products as needed.
    • Maintain appropriate logs and records of vendor contact information. 
  • Senior Officer Assistance:
    • Serve as back-up to the Executive Assistant to the Chairman, as requested.
  • Other: Any other duties requested by other departments must be discussed with supervisor before accepting the assignment.
    • Assist with set up for client and FANUM events.
    • Assist various departments with copying, scanning, distribution of materials and other administration needs.
    • Assist with AMG mass mailings
    • Assist with office filing projects and file security, including creating labels, file folders and binders, and audits.
    • Other duties as assigned
