Reports To:  Director of Finance  

Summary

 

American Fan has an opportunity for a Finance Co Op based in our Fairfield, OH facility. The ideal candidate will be able to multitask and support multiple projects in the accounting department. The candidate will work closely with accounting team members at our Fairfield, OH location and remotely with other locations as needed to ensure all necessary processes are completed in compliance with established policies and procedures. This candidate will need to be able to work in a fast-paced environment. This role will be required to develop relationships internally and externally to maintain relationships with customers and vendors.  American Fan will consider candidates who are ready to fulfil this role in its entirety and candidates who have the aptitude and desire to quickly grow into this role.

 

 

Primary Duties and Responsibilities

 

  • Daily activities with customer communication including payment bookings logs, collections, dispute management, credit checks, email updates as well as other various activities as needed 
  • Weekly Review of Credit Checks 
  • Efficiently scan and process incoming checks, ensuring accuracy and adherence to company policies and procedures.
  • Manage incoming and outgoing mail, distributing correspondence to appropriate departments and individuals in a timely manner.
  • Support the transition of finance operations from a shared service provider to an in-house model for the manufacturing company.
  • Organize and maintain financial documents, including invoices, receipts, and other related records, to facilitate easy access and retrieval.
  • Enter financial data into company systems accurately and maintain comprehensive records to ensure data integrity.
  • Assist in communication with vendors regarding payment inquiries, discrepancies, and other related matters as needed.
  • Identify opportunities for process improvements within finance administration functions and contribute to the implementation of solutions.
  • Collaborate with other departments such as Accounts Payable, Accounts Receivable, and Purchasing to ensure smooth operations and effective communication.
  • Keeping the company current with Certificates of Insurance as well as Lien Waivers  
  • Performs in a manner that would support FMD’s key values of Integrity, Velocity, and Teamwork
  • Supports other corporate projects and initiatives, as assigned.

 

 

 

Qualifications and Educational Requirements

 

  • Previous experience in finance administration, preferably in a manufacturing or related industry.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Excellent organizational and time management skills to prioritize tasks effectively.
  • Ability to adapt to changing priorities and work independently with minimal supervision.
  • Effective communication skills to interact with internal stakeholders and external vendors.
  • Familiarity with scanning equipment and mail processing procedures is a plus
  • Manufacturing experience is a plus, but not required
  • Excellent written and verbal communication skills
  • Proficient in use of an ERP computer software package
  • Proficient in Excel
  • Ability to work independently or in a group setting.
  • Strong interpersonal skills, with a history of cross-functional collaboration
  • Strong analytical and problem-solving skills are required
  • This position includes access or potential access to export-controlled data. Therefore, you will need to qualify as a U.S. Person, which is defined as a U.S. Citizen, a U.S. Permanent Resident or a political asylee in compliance with International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR). Acceptable proof of this status includes a US Passport, Permanent Resident Card, US birth Certificate or Naturalization Certificate. Maintenance, including renewal, of licensing authorization is a condition of employment. Government authorization may be a suitable alternative after review on a case-by-case basis.
