Grant Field Monitor – Title III, Section 41, and 31a
Job Summary:
The Grant Field Monitor assists in ensuring the district adherence to federal and state regulations, with a focus on Title III, Section 41, and 31a programs. Responsibilities include conducting on-site compliance visits, maintaining accurate records for audits, and supporting the coordination of grant-funded activities. The role collaborates with various stakeholders to monitor expenditures, prepare compliance reports, and manage program documentation. Additionally, this position supports the Director of State, Federal, and Local Programs in preparing and submitting applications and reports to the Michigan Department of Education (MDE).
Essential Functions (May include, but not limited to):
1. Coordinate with grant staff to schedule meetings, manage supplies, and distribute required communications.
2. Assist the Director of State, Federal, and Local Programs in reviewing, preparing, and editing the Consolidated Application Part A for Title I and Title III submissions to the MDE.
3. Support the review, editing, monitoring, and submission of Section 41 and 31a program documentation to MDE.
4. Organize and maintain PARS/Time and Effort documentation for all federally and state-funded district staff.
5. Assist with the bi-annual certification process for PARS/Time and Effort documentation.
6. Provide support in planning and organizing federal program activities, including staff professional development, parent meetings, and student engagement events.
7. Prepare, organize, and maintain documentation for annual audits related to federal and state grant compliance.
8. Monitor compliance of school-wide programs, targeted assistance programs, and non-public school activities funded by federal and state grants.
9. Collaborate with department directors, academic offices, school leaders, counselors, parent facilitators and parents to create effective compliance reporting tools.
10.Monitor all purchases and expenditures under Title III, Section 41, 31a and School Improvement programs to ensure compliance with applicable regulations.
11. Prepare and submit timely compliance reports to the Director as needed.
12.Maintain an accurate inventory of all federally funded equipment and remain trained in the district’s current inventory system.
13. Attend regional, state, and federal compliance meetings, workshops, and conferences.
14. Perform other duties as assigned.
Qualifications:
Education: Associate’s degree required. Bachelor’s Degree preferred. Course work in accounting, finance, or related field desired.
Experience: Minimum 2 years’ work experience with grants or related position required. Previous experience with grant programs preferred.
