What Does This Position Do?
This position functions as support staff for the Division of Insurance, so work may be directed by a variety of individuals. The desired candidate will possess a commitment to service, rigorous attention to detail, and the ability to work in a team-oriented environment. Responsibilities for the Division of Insurance will include:
- all front office functions, including greeting callers and visitors, and identifying appropriate transfer of calls/visitors to division staff;
- timely preparation of correspondence, including assistance with mail merges and large mailings;
- monitoring the division's general email account, answering general information emails, disseminating other emails to appropriate division staff;
- assist with travel arrangement for staff, including fleet vehicles;
- schedule meetings, prepare meeting rooms, and organize meeting materials;
- organize documents for electronic storage, including upload of documents and quality review;
- prepare and process payment vouchers for agency personnel;
- monitor, maintain, and order supplies;
- submit work orders for equipment; and
- coordinate and assist with special projects as assigned.

The Ideal Candidate Will Have:
A high school diploma or equivalent.
Knowledge of:
- various methods of communication;
- general office equipment, practices, and procedures;
- computers, Microsoft Office Products (specifically Excel, Word and Outlook), and Adobe Acrobat;
- electronic scanner and file management system;
- English grammar, spelling, and punctuation;
- computer software applications; and
- general insurance concepts.
Ability to:
- communicate effectively;
- concisely provide information, explanations, and instructions;
- obtain and provide information by phone in a clear and courteous manner;
- demonstrate compassion, respect, courtesy, and tact when interacting with others;
- maintain composure, efficiency, and a positive customer-service oriented manner during periods of peak workload, with frequent interruptions;
- organize work, set priorities, meet critical deadlines, and follow-up with minimal direction; and
- operate office equipment such as a computer, photocopier, and scanner.
This position is eligible for Veterans’ Preference per ARSD 55:10:02:08.
