About the Position:

We are seeking a driven and passionate  practice manager to join our Ketamine clinic for our Cincinnati (Montgomery) location. This is an incredibly rewarding career opportunity to oversee a team of passionate, forward-thinking professionals leading the way in mental health treatment advancements.

As the first point of contact for our patients, you’ll play a crucial role in providing exceptional customer service that sets the clinic’s tone. Your role is to ensure smooth operation of the clinic and helping patients feel welcome and supported. The ideal candidate should possess strong multi-tasking abilities, impeccable customer service, good communication skills, empathy, and professional attitude and appearance to be successful in this role. The practice manager oversees various administrative and operational aspects to ensure that our staff members are supported and work efficiently.

Responsibilities:

  • Manage day-to-day operations: scheduling, billing, and records
  • Lead and manage staff: hiring, staff scheduling, employee files and performance management
  • Facilitate a team effort for superior patient experience
  • General office duties: front desk duties, answering phones, customer service, copying, scanning, mail etc.
  • Coordinate with healthcare providers for timely and accurate patient care
  • Resolve patient complaints and concerns promptly and professionally
  • Ensure compliance with healthcare standards, including HIPAA
  • Monitor and maintain inventory of medical supplies and equipment
  • Assures that practice property appearance is clean and professional, arrange for housekeeping/landscaping or other services as required
  • Identifies, analyzes, and resolves workflow problems
  • Assist in all areas of clinic operations and providing support when needed
  • Effectively communicate with team members and offer constructive feedback
  • Display excellent customer service, addressing patient care concerns and clinical questions promptly
  • Lead and serve as a positive role model for the entire staff by always demonstrating courteous, compassionate, and respectful behavior toward patients, families, providers, and co-workers, creating a warm and welcoming environment
