Position Title:  Student Administrative Assistant

Organization:  IU School of Medicine

Department/ Office:  Pediatrics Department

Hourly Wage:  $15

Number of Openings:  2

Average Hours/Week:  up to 29

 

General Purpose:  The Administrative Assistant provides essential administrative support to ensure the smooth and efficient operation of the office.

Essential Duties and Responsibilities:  

  • Maintain MedNet electronic filing (Peds referrals, clinic notes, in and outpatient consultations)
  • Day to day management of office space (mailbox, maintain supplies, scanning, filing)
  • Answer phones, emails, voicemails and distribute accordingly
  • Maintain weekly/monthly/quarterly meetings and meeting requests including sending out invites, prepping agenda and meeting space-
  • Maintain release of information for outpatient visits
  • Fax discharge summaries and notes to FCM, PCP, etc.

Desired Qualifications:  

Availability: 

  • Must be available to work during standard office hours
  • Consistent schedule preferred to ensure continuity in administrative support

Education/Experience: 

  • Current undergraduate student at IU Indianapolis
  • Prior experience in an office, healthcare, or administrative setting is helpful but not required

Knowledge, Skills, Attributes:  

  • Excellent verbal and written communication skills
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Comfortable learning and using internal systems (e.g., MedNet, electronic medical records)
  • Ability to manage multiple tasks and prioritize workload effectively
  • Professionalism and discretion when handling sensitive information
  • Dependability, adaptability, and a proactive approach to problem-solving
  • Customer service orientation and ability to interact respectfully with patients, providers, and staff
