Welcome Desk Associate, Admissions

Position Type: Federal Work Study And Non-Work Study

Essential Duties and Responsibilities 

The Welcome Desk Associate is responsible for providing exceptional guest service. This role serves as the first point of contact for guests and visitors, creating a positive and inviting atmosphere. As a Welcome Desk Associate, your primary responsibilities include but are not limited to: 

Greeting and Welcoming Visitors: 

  • Greet visitors and guests in a friendly and courteous manner.
  • Create a positive first impression by maintaining a professional appearance and demeanor.
  • Provide assistance and directions to visitors as needed.

Phone and Email Communication: 

  • Answer incoming phone calls promptly and direct them to the appropriate individuals or departments.

Visitor Registration: 

  • Register and sign in visitors for campus visits, issue visitor nametag.
  • Notify staff members of visitor arrivals or appointments.

Administrative Support: 

  • Perform basic clerical tasks such as photocopying, faxing, and filing.
  • Assist with data entry Appointment Scheduling for Campus Visits

Mail Handling: 

  • Sort and distribute incoming mail and packages.

Facilities Management: 

  • Follow opening and closing procedures.
  • Monitor and maintain the cleanliness and tidiness of the reception area.

Requirements

Minimum Qualifications:

  • Strong customer service and communication skills.
  • Customer Service oriented Reliable, professional, and punctual.
  • Basic computer and phone skills.
  • Availability during standard office hours, including occasional weekends and evenings.

Knowledge, Skills, and Abilities:

  • Friendly and approachable demeanor with a strong commitment to customer service.
  • Ability to handle inquiries in person, by phone, and via email with professionalism.
  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and demonstrate discretion.
  • Ability to work independently and as part of a team.

Physical Requirements:

  • Ability to sit or stand for extended periods of time.
  • Occasional light lifting (e.g., boxes of brochures, event materials).
  • Must be able to speak clearly and interact with guests in a welcoming manner.

Preferred Qualifications: 

  • Previous experience in a front-desk, customer service, or administrative role.
  • Familiarity with campus departments, resources, and student life.
  • Ability to manage multiple tasks in a fast-paced setting.
  • Experience using office software or scheduling systems.

Anticipated Schedule: 

  • Mornings & Afternoons, M-F, 8:30am-4:30pm
