Alumni Relations Student Assistant - Summer or Fall 2025 - Work Study or Regular Pay

Job Summary:
The Alumni Relations Student Assistant will assist the UW-Whitewater Foundation office in fostering meaningful relationships with alumni, supporting events, and providing administrative assistance. This position offers a unique opportunity for a student to engage with the alumni community, gain valuable experience in event planning, annual giving, communication, and database management, and contribute to the continued success of alumni engagement efforts.

Key Responsibilities:

  • Assist in planning, coordinating, and promoting alumni events such as reunions, networking events, and social gatherings.
  • Provide support with alumni communications, including preparing newsletters, email campaigns, and social media content.
  • Maintain and update alumni databases, ensuring the accuracy of contact information and other relevant details.
  • Support the planning and execution of giving days and other annual fundraising strategies.
  • Assist with the creation and distribution of event invitations, registration forms, nametags, packets, attendee lists, and post-event follow-ups.
  • Respond to inquiries from alumni via phone, email, or social media, offering assistance and providing information as needed.
  • Help track alumni engagement, participation, and feedback from events and campaigns.
  • Support the creation of promotional materials, including flyers, posters, and digital content.
  • Assist in researching alumni stories and achievements for use in alumni publications or on social media.
  • Provide administrative support for the Foundation team as needed, including filing, data entry, and general office duties.

Qualifications:

  • Currently enrolled as a student at UW-Whitewater.
  • Strong communication skills, both written and verbal.
  • Comfortable working with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Highly organized with attention to detail and the ability to manage multiple tasks simultaneously.
  • Self-motivated, proactive, and able to work independently.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred Skills:

  • Previous experience in event planning or customer service.
  • Experience with social media platforms and basic graphic design tools is a plus.
  • Familiarity with CRM systems or alumni engagement platforms.
  • Interest in working in a nonprofit environment.
  • A passion for building relationships and engaging with the alumni community.

Hours and Compensation:

  • This is a part-time position, approximately 15 hours per week. Some evenings and weekend hours will be required to support events.
  • Hourly wage: $12-15/hour commensurate with the candidate's qualifications.
