Executive Administrative Assistant

We are a full-service law firm based in Monmouth County, NJ, with multiple offices in the Tri-State area. We are seeking an organized and proactive Executive Administrative Assistant to provide high-level support to our senior leadership team. This role is ideal for someone with strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced legal environment.

This is a fully in-office position; remote or hybrid work options are not available. We are open to either entry level or experienced candidates, salary to reflect experience.

Key Responsibilities:

  • Provide comprehensive administrative support to executive, including managing schedules, organizing meetings, and preparing materials.
  • Draft and edit correspondence, reports, and other documents as needed.
  • Draft email correspondence with clients and maintain clear updates on files as needed
  • Assist with managing high-priority projects, ensuring deadlines are met and all necessary follow-up actions are completed.
  • Maintain confidentiality of sensitive information and handle communication with discretion.
  • Handle incoming calls, emails, and inquiries on behalf of executive, ensuring timely and professional responses.
  • Organize and maintain digital filing systems.
  • Coordinate legal and administrative tasks to ensure smooth workflow and assist in office management as required.
  • Work closely with other administrative staff to provide seamless support across departments.

Qualifications:

  • Proven experience as an executive assistant, administrative assistant, or similar role, preferably in a legal or professional services setting.
  • Excellent written and verbal communication skills.
  • Exceptional organizational and multitasking abilities.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with integrity and discretion.
  • Strong interpersonal skills and ability to work in a team-oriented environment.
  • Ability to prioritize and manage multiple tasks efficiently.
