Receptionist

The Boston office of Arnold & Porter has a Receptionist opening. The Receptionist welcomes clients, guests, and office personnel to the firm in a professional and efficient manner and as well as provides overflow assistance to the Attorney Resource Center (ARC) as needed.  The Receptionist will work 100% in the physical Boston office.

Responsibilities include, but are not limited to:

  • Meeting and greeting clients, guests, and visiting office attorneys and staff.
  • Answering the telephone in a courteous and professional manner, routing calls and messages to the appropriate attorney or staff member in a timely manner, and handling routine inquiries.
  • Ordering catering for varied dietary needs for meetings and events.
  • Preparing, setting-up, and breaking down conference room set ups including coffee/beverages/food/supplies for meetings and events.
  • Providing backup support with the coordination of IT and AV needs for meetings with the appropriate departments.
  • Maintaining standard pantry and conference rooms supplies, including milk, coffee, tea, and basic office supplies.
  • Providing backup telephone services for other firm offices outside of the Boston area, as needed.
  • Maintaining office assignments, updating them on a regular basis, and assigning/coordinating guest and visitor offices for visiting attorneys and staff.
  • Assisting with new employee onboarding coordination and departure logistics, as needed.
  • Assisting the Office Manager with contacting/following-up with building management re: service requests, when necessary, i.e., HVAC, lighting, etc.
  • Arranging local transportation for clients, guests, and attorneys, as needed.
  • Assigning temporary building access to attorneys and staff, arranging access to our internal space as well as maintaining the Temporary Badge Log.
  • Retrieving, sorting, documenting, and distributing mail. Also identifying and troubleshooting the owners of unidentified mail.
  • Processing expenses and invoices through Emburse.
  • Maintaining a professional appearance at the reception desk and in the reception area (organizing the seating area, florals, and reading materials).
  • Providing any overflow or back-up assistance to the ARC Support team in the Boston office as needed.

 

Qualifications:

  • High school diploma or equivalent experience.
  • Minimum of one (1) year of prior reception experience in a law firm or professional services industry.
  • Proficiency in Windows operating systems and Microsoft Office Suite and/or related software.
  • Ability to work effectively with all levels of the firm with tact and diplomacy.
  • Must be able to work independently.
  • Proficiency in general clerical skills.
  • Ability to operate general office equipment.
  • Ability to plan and organize work.
  • Must demonstrate a high degree of trustworthiness commensurate to handling confidential and sensitive material.
  • Strong problem solving skills.
  • Ability to prioritize and manage time effectively.
  • Possess reliability, dependability and motivation.
  • Excellent organization and communications skills, both oral and written.
  • Ability to work in a fast-paced environment while exhibiting a strong attention to detail.
  • Ability to handle a variety of tasks simultaneously.
  • Exceptional client service, both internal and external.
  • Flexibility to work additional hours, as necessary.

 

The anticipated base salary for this position is $49,421 to $65,000. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.

As a nonexempt position, this position is eligible for overtime.
