Summer Conference Desk Services Representative

DESCRIPTION:   
Summer Conference Desk Services Representatives (DSRs) provide front desk services for summer conference guests, student residents, and the UW campus community within the residence halls.  Successful Summer Conference DSRs are

Summer Conference DSRs work both in teams and independently on a variety of projects.  A typical schedule may be eight hours per day, up to five shifts per week; scheduled hours may vary each week according to conference activity.

TIME COMMITMENT: 
• The summer conference season officially begins after spring finals week and runs through the start of autumn quarter. Successful candidates will be available for training in May, and for the entire summer period, with no plans for extended vacation or study abroad travel, or other commitments such as internships or second jobs.
• Training for the summer conference season begins in May and includes mandatory online and in-person paid training sessions. Hours worked while training during spring quarter will vary and are set up around your spring class and finals week schedules.
• Successful summer employment may lead to academic year employment if you wish to continue to work with the Desk Services team. 
• Given the workload and the need for flexible scheduling 7 days a week, it is preferred that candidates not be enrolled in A or B-term summer classes. If you are taking summer classes, it limits how we can schedule you and may cap your hours at 19.5 per week.

TYPICAL WORK: 
• Assist with spring closing tasks during finals week.
• Using conference and residential housing databases, including electronic and paper resources.
• Compile check-in materials for guests: register and assign guests to rooms; issue keys, fobs, and meal/access cards; collect signatures.
• Greet conference guests and organizers upon arrival. Provide warm and welcoming courteous customer service, way-finding directions, etc. to all customers.
• Complete check-in and checkout transactions in the conference housing database.
• Collect payments and document billing information.
• Assist guests with transportation questions, as necessary.
• Maintain accurate key inventory and conduct regular key audits.
• Assist with setting up and taking down offsite check-in and registration areas.
• Receive, sort, and deliver mail and packages.
• Provide luggage storage.
• Review and respond to internal communications at the start of and during each shift.
• Input facilities-related work orders and report all emergencies immediately to the appropriate personnel.
• Collaborate with other HFS units.
• Participate in staff meetings and perform other duties as assigned.

QUALIFICATIONS:  
•Enrolled as an undergraduate/graduate student at UW for the upcoming autumn quarter. 
•Ability to lift up to 55 pounds
