Trade Show Exhibitor Coordinator

Summary: Maintain Exhibitor Services initiatives for the PACK EXPO trade shows. Primary responsibilities include Customer Service, Review and Approval of exhibitor display designs, booth space marketing materials, and enforcement of rules and regulations on site, responsibility for exhibitor services initiatives including Exhibitor Education, First Timers Programs, Trainings, Exhibitor Communications, and execution of Exhibitor Service Manual. This role works closely with the Marketing team on all print, email and digital Exhibitor Marketing and the Operations Team on exhibitor services.

Duties and Responsibilities:

Responsible for responding to incoming and outgoing communications to new and existing PACK EXPO exhibitors and attendees and for overall Customer Service approach for the PACK EXPO family of trade shows.

Responsible for the approval of booth designs and marketing materials by reviewing exhibitors' booth layouts and ensuring that they abide by Show rules and regulations.

Work in conjunction with Senior Director, Trade Shows on rules revisions and the publishing of show rules each year.

Work with Trade Show Marketing Department on the development and proofing of all Exhibitor related promotional materials.

In conjunction with the Exhibitor Services and sales team, assign booth space in Map Your Show when needed.

In conjunction with Exhibitor Services Team, execute priority booth space selection for the PACK EXPO shows

Oversee and coordinate with Tradeshow Assistant on proofing the printed Show Guide, floor plan, exhibitor lists and various materials throughout the show cycle for both domestic and international trade shows.

Responsible for development and execution of the Exhibitor Education program, including sourcing speakers, developing content, and executing the project. Current education initiatives include webinars, podcasts, printed education materials, digital tools, relevant website updates, marketing materials, and coordinating with social media team on exhibitor focused postings

Develop ideas for and work with marketing to execute video tutorials to distribute to exhibitors to prepare them for the trade show

In conjunction with Operations Manager, proof, layout, populate and publish the Exhibitor Services Manual webpage

Management of the first-time exhibitor's program for all domestic shows, including development of timelines, content, and working with marketing team on website and materials, executing emails, and follow up with first-timers.

Contributing content to the Exhibitor Update. Exhibitor Operations Coordinator will provide timely and relevant articles to be included in bi-weekly exhibitor updates.

Responsible for providing article quarterly for OEM Magazine's Exhibitor Corner

Travels to the annual domestic trade show(s) and other events as needed to assist with onsite duties and booth sales for future tradeshows.

Qualifications and Education Requirements:

4 year college degree

1-2 years of experience in Events Management and/or Marketing experience.

Must possess excellent customer service skills and be comfortable working with customers routinely via phone and email.

Must be extremely organized with strong attention to detail, and possess strong project management skills.

Must be capable of executing strong written communications, both internally and externally.

Must be able to perform multiple tasks simultaneously in a timely, courteous and professional manner.

Command of the Microsoft Office Suite.

Self-motivated.

Experience in Map Your Show, Salesforce, or related CRM systems a plus
