The Administrative Assistant II position will provide essential administrative and operational support to Law School faculty, including meeting coordination, faculty support, and technology troubleshooting. This role requires a detail-oriented and organized professional with strong multitasking abilities, excellent communication skills, and proficiency in Microsoft Office applications. Additionally, this position will manage student and faculty files, regularly interact with faculty and students, and contribute to the efficient execution of law school programs such as moot court and faculty appointments processes. Duties and Responsibilities
1. Assist with event planning, including travel arrangements and other logistics, for faculty (including for moot court) and faculty candidates
2. Schedule meetings and appointments, including for office hours and exam reviews; arrange committee meetings, including room reservations, guest information, and parking arrangements; schedule and set up faculty candidate interviews; schedule moot court volunteer judges
3. Maintain confidential student and committee files for professors and host appointments committee files and moot court files, including database and calendar
4. Organize and maintain information, both physically and in electronic format, including student and exam information; print moot court participant certificates
5. Assist with preparation and dissemination of (a) course and scholarly materials, including examinations, articles, and book manuscripts, and (b) committee reports and correspondence, including files for appointments committee and moot court.
6. Assist students with inquiries and screen incoming telephone calls.
7. Assist law school faculty and staff with the various components of Microsoft Office, including Word, Excel, Access, Powerpoint, and Outlook. Troubleshoot basic computer issues.
8. Provide support for multi-function printing device, including troubleshooting and call for service as needed; order supplies
9. Provide back-up support to law school staff as assigned or required, including proctor exams
Required Knowledge, Skills and Abilities
High school diploma
A minimum of two years of administrative experience.
Strong oral and written communication skills.
Attention to detail, capable of producing neat and accurate work.
Ability to maintain strict confidentiality.
Able to effectively proofread a variety of documents.
Proficient with all aspects of Microsoft Office.
