Accounts Payable Clerk

Job Title: Accounts Payable Clerk

Department: Accounting

Reports To: Accounting Manager

Location: Boca Raton, FL Office

Job Classification: Part-Time; Non-Exempt

Position Overview

The Accounts Payable Clerk is responsible for performing a variety of accounting, bookkeeping and financial tasks including keeping financial records updated, preparing reports, reconciling bank statements, and running accounting software programs to process business transactions. This role ensures the company’s daily accounting functions run accurately and effectively.

Essential Duties and Requirements

  • Provides accounting and clerical support to the accounting department.
  • Prepares and maintains accounting documents and records.
  • Prepares bank deposits, general ledger postings, and statements.
  • Processes invoices, expense reports, and other financial transactions accurately and in a timely manner.
  • Reconciles accounts in a timely manner.
  • Researches, tracks, and corrects accounting or documentation problems and discrepancies.
  • Compiles reports and summaries on branch locations.
  • Enters key data of financial transactions in databases daily.
  • Provides assistance and support to other departments as needed.
  • Maintains accurate records of accounts receivable and accounts payable.
  • Functions in accordance with company procedures and established standards, procedures, and applicable laws.
  • Constantly updates job knowledge to stay on top of changes in the field or industry.
  • Performs other duties as assigned.

Knowledge, Skills & Abilities 

  • Familiarity with bookkeeping and basic accounting procedures.
  • Strong numerical and data entry skills, as well as a basic understanding of accounting principles and software.
  • Hands-on experience with spreadsheets and financial reports, including proficiency with MS Excel.
  • Strong organizational skills with keen attention to detail. 
  • Proven experience in administrative roles, preferably in a fast-paced environment. 
  • Proficient in data entry, word processing, and spreadsheet software (e.g., Microsoft Office Suite). 
  • Excellent written and verbal communication skills.
  • Ability to thrive under pressure and meet deadlines.
  • Highly motivated to achieve results and meet goals.
  • Team player with a willingness to do whatever is necessary for the betterment of the company.
  • Ability to use discretion and integrity when handling confidential information.

Education and Experience Criteria

  • High school degree required. Associates degree or relevant certification, preferred.
  • Proven accounting experience, preferably as an Accounts Receivable Clerk or Accounts Payable Clerk.
  • Must be authorized to work in the U.S.

Physical Requirements

  • Must be able to remain in a stationary position 50% of the time.
  • Occasionally move about inside an office environment
  • Must be able to lift 15 pounds at a time.
  • Constantly operates a computer and other office productivity machinery.
  • Frequently communicate with internal and external clients in-person, and via telephone, email, and video conferencing.  Must be able to exchange accurate information in these situations.
