Administrative Assistant

Position Reports to: Vice President of Academic Affairs

 

POSITION SUMMARY & OBJECTIVES:

The Administrative Assistant position exists to support the offices of the Vice President of Academic Affairs and the Academic Department at Glenwood Academy.

This position provides a wide variety of secretarial, reception, and subsidiary project functions. This position supports the mission of Glenwood by assisting the VP and multiple departments for the most efficient delivery of services and communications within the Glenwood community with special attention on the maintenance of student records and efficient delivery of campus wide communication.

 

ESSENTIAL FUNCTIONS:

  • Providing clerical, administrative and secretarial support to Vice President of Academic Affairs and Chief Operating Officer
  • Corresponding with all departments to ensure uniformity 
  • Assisting in the organization and co-ordination of office operations, office procedures and resources to facilitate department effectiveness and efficiency
  • Handle multiple academic school office functions such as report cards, students records, state reports, the school calendar,  correspondence, ordering products and recording requisitions, etc.
  • Screening and directing inbound phone calls, receiving and directing families and visitors
  • General clerical duties including photocopying, faxing and mailing
  • Maintaining PowerSchool and hard copy filing systems, handling requests for current record transfers
  • Ensuring security, integrity and confidentiality of data

 

OTHER DUTIES AND RESPONSIBILITIES:

  • Preparing and modifying documents including; meeting notes, correspondence, reports, memos and emails 
  • Attend committee meetings as assigned as well as preparing agendas and minutes.
  • Maintaining office supply inventory and maintenance of office equipment
  • Handling staff, family and student inquiries and directing them to the appropriate department.
  • Subsidiary projects include tuition follow-up, formulation of memos and letters, assistance with special events, Parent Teacher Conferences, and other periodic and related functions.
  • Assist with aspects of special events as assigned, such as assisting with refreshments during the Parents Drill reception, the Senior Banquet, managing of the awards table during Flag Day ceremonies, or similar and occasional campus events.
  • Providing assistance to all campus activities including; Thanksgiving Luncheon, Rotary Christmas Party, Pledge Service, Parent’s Drill Reception, Senior Banquet, Flag Day
  • Is responsible for field trip logistics including bus arrangements, lunch orders etc.
  • Completing textbook and other orders as directed by the Vice President of Academic Affairs.
  • Other duties and responsibilities as assigned.

 

REQUIRED QUALIFICATIONS:

  • Minimum education level is a high school diploma or GED 
  • No history of child abuse or neglect.

 

PREFERRED QUALIFICATIONS:

  • Business degree or equivalent 
  • 2 years of college 
  • 2 years minimum related experience
  • Well-developed written and oral communication 
  • Computer skills and knowledge of relevant software
  • Knowledge of clerical, administrative, business management practices and procedures

  • Salary Range: $17.00 – $20.00 hourly (based on experience and qualifications).

WORKING CONDITIONS:

Office Environment.  Moderate Noise. Position may require off site travel and attendance at outside events on days and times outside of the normal workweek schedule.
