City Hall Administrative Specialist

Starting Salary: $17.59$19.25 (depending on experience)

About this Position

The City Hall Administrative Specialist is an admin job that interacts with the public at the front desk at City Hall. They will greet visitors, customers, and the general public, and provide current information to help inform and answer questions. This position sets the tone for a professional and positive customer experience for all visitors to the City Hall facility.  

This position works the alternative schedule, which is from 7:30 am to 5:30 pm Monday through Thursday, and from 7:30 am to 11:30 am on Friday.

Qualifications

  • High school diploma or GED equivalent
  • 12 to 18 months of related experience and/or training
    • Or equivalent combination of education and experience
  • Valid Oklahoma Driver's License and a driving record acceptable to the City's insurance carrier

Responsibilities

  • Receive visitors and direct them to appropriate person or location
  • Receive job applicants and distribute pre-interview paperwork
  • Answer the telephone and route calls as needed
  • Maintain calendars for shared meeting spaces
  • Coordinate room set-ups and equipment needs for meeting spaces
  • Perform clerical duties such as typing, filing, record keeping, and ordering supplies
  • Coordinate with staff on package deliveries
  • Submit work order requests
  • Tidy and organize the reception area as needed
  • Accept and distribute documents to the public as directed

Necessary Skills

  • Ability to meet the required physical standards for this position
  • Ability to pass extensive background process and pre-employment drug and audio screenings
