2025 Business Services Division Intern (Clerk III) Austin, TX
Performs highly complex support work and assists business services staff with general office duties. General office duties include but are not limited to coordinating clerical activities such as compiling and tabulating data, research, data entry, checking documents for accuracy, assists in managing the flow of paperwork, and maintaining files. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment.
Essential Job Functions:
(30%) Reviews, edits, and reconciles discrepancies in reports, purchase orders, correspondence, summaries, manuals, vouchers, journals, ledgers, requisitions, records, and other related forms.
• Creates weekly/monthly status reports to summarize financial activity and reconciliation efforts.
• Auditing contract records.
• Assists with revenue processing.
(25%) Coordinates the receiving, storing, and issuing of files, materials, and supplies.
(25%) Uploads docs to CAPPS, AIMS, and USAS.
• Prepares documents for data entry and enters data into database.
(10%) Serves as the backup for business services division staff.
• Assists the Administrative Assistant as needed.
(10%) Performs other duties as assigned.
MQs, KSA, License/Certifications:
MINIMUM QUALIFICATIONS:
Graduation from a standard high school or equivalent.
AND
Currently enrolled in an accredited college or university with a major in Accounting or related field.
PREFERRED QUALIFICATIONS:
Experience in clerical work.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of office procedures; of spelling, punctuation, grammar, and arithmetic; of business or program terminology, methods, and procedures; and of records administration and maintenance techniques and procedures.
- Skill in the use of a computer, computer programs (e.g., Microsoft Suite and Adobe Acrobat) and office equipment (e.g., printer and scanner).
- Skill in critical thinking and problem solving with attention to detail and strong organizational skills.
- Ability to prepare and maintain records, files, and reports; to transfer stock from one location to another; to make arithmetic computations; and to communicate effectively.
REGISTRATION, CERTIFICATION OR LICENSURE:
Must be able to present a copy of college transcript.

This position functions in a standard office environment. Must be able to move about the office to access file cabinets, office equipment, etc. Must be able to communicate and exchange accurate information via telephone, computer and in person. Must be able to perform repetitive use of a keyboard at a workstation. Must be able to work with overlapping deadlines. Required to work as a team member, and work with sensitive and confidential information.
