                                           JOB DESCRIPTION – OFFICE COORDINATOR

 

Job Title:            Office Coordinator

Reports to:        Operations Manager 

Classification:   Full-Time, Hourly 

Salary Range:    $40-$55/hour

Location:             Fresno

 

                                                               Position Summary

 

The Office Coordinator is primarily responsible for coordinating and overseeing the day-to- day administrative activities and facilities of Leadership Counsel. The Office Coordinator will oversee and streamline the administrative and operational functions of the organization. This position is responsible for leading office initiatives and providing exceptional support to senior leadership. This position will report directly to the Operations Manager.

 

                                                 Essential Duties & Responsibilities:

 

The essential functions of this position include the following: 

 

     1.  Oversee the day-to-day operations of the office, ensuring everything runs

          smoothly and efficiently, including:

          a.  Organizing and maintaining office administrative files, both digital and 

                physical, ensuring accuracy and confidentiality.

          b.  Handle office supply inventory, purchasing, and vendor relationships, 

               ensuring that all supplies and office equipment are maintained and 

               stocked for all Leadership Counsel offices and staff.

          c.  Manage procedures for internal use of equipment off-site

          d.  Maintain records as directed by senior leadership.

          e.  Maintain files for office equipment and supplies including but not limited

                to computer warranty information, phone system, printer, landscaping, 

                cleaning services, security services, etc.

           f.  Manage and maintain inventory of Leadership Counsel items.

          g.  Manage and process incoming and outgoing mail in Fresno office and

                support with managing and processing incoming and outgoing mail in 

                all other offices.

           h.  Support facilities and relationships with facilities-related vendors such

                as property owners and/or landlords, internet provider, phone provider, 

               security service provider, etc. for the main office and the satellite offices.

           i.  Serve as liaison between all offices in reserving spaces and other logistics

               related to events.

           j.  Manage relationships and scheduling for external parties using 

               Leadership Counsel spaces or equipment.

 

     2.  Support senior leadership with administrative tasks, including:

           a.  Participate and contribute to administrative team meetings, activities, 

                 and collective work assignments.

           b.  Support logistics related to meetings, travel, conferences, etc.

           c.  Other administrative or programmatic functions as deemed necessary by

                 the supervising manager, Director of Operations, or co-executive directors

                 to support the organization’s operational needs.

 

     3.  Program engagement, including:

          a.  Develop and maintain relationships with community and organizational 

                partners and other stakeholders.

                                                            Skills and Qualifications:

 

     1.  Education: Bachelor's or commensurate work experience.

 

     2.  Experience:

           a.  3+ years of demonstrated experience in similar role.

           b.  1+ years of experience working with and on behalf of social justice 

                and/or environmental justice organizations.

 

      3.  Certifications/Technical Skills/Proficiencies:

            a.  Computer skills including: Microsoft Office Suite and Google Office Suite.

            b.  Excellent verbal and writing skills in English.

            c.  Exceptional project management skills.

 

    4.  Other Traits, Capacities, and Requirements:

         a.  Ability to regularly work long hours, evenings, and weekends

         b.  Ability to work independently with minimal supervision.

         c.  Ability to travel within the State of California including throughout 

              California and 1-2 times out of state per year.

         d.  Drivers’ License and access to personal vehicle and insurance coverage.

         e.  Reliable access to a personal cell phone.

          f.  Reliable access to the internet.

         g.  Comfortable with working with residents and organizations from 

              diverse backgrounds.

 

Bilingual and biliterate in English and Spanish is preferred but not required.

While performing the duties of this job, the employee is regularly required to move or remain in a stationary position, to perform clerical duties in the office, and operate computer and related office machinery. The employee must have the ability to conduct meetings. The employee must regularly lift and/or move up to 30 pounds of tools or other equipment. Constantly operate a variety of functions on the computer (e.g., including reading and responding to email) along with other office productivity machinery, such as telephone, calculator, print and copy machine, etc. The person in this position is required to frequently and effectively communicate with callers and community members, in person, via email, and over the phone. Must be able to exchange accurate information in these situations, and able to read from a computer screen and paper documents.

 

Ability to drive frequently and for long hours in a day to community meetings, hearings, conferences and other related activities (some of which may be in rural areas), ability to conduct door-to-door outreach and conduct meetings both in-person and remotely, and ability to set up for events/meetings including lifting materials and supplies such as chairs, easels, and tables.

 

Employees share office space with one or more other staff members. This position typically functions indoors, in office environments with light to moderate noise, and in community gathering venues, private homes or government buildings with both small and large groups of people where noise levels may be higher than in a typical office setting. The position requires travel for meetings and events, including various outdoor worksites.

 

This position also functions in an outdoor setting and may include moderate to loud noise associated with outdoor music and crowds.
