We are seeking a reliable and organized Office Assistant to join our team and support our daily operations.
Job Summary:
The Office Assistant will provide essential administrative support to ensure the smooth and efficient operation of our office. This role involves a variety of tasks, including answering phones, managing correspondence, data entry, document scanning and filing, and other general office duties. The ideal candidate will be detail-oriented, possess excellent communication skills, and be proficient in basic computer applications.
Responsibilities:
- Telephone and Reception:
- Answer and direct incoming phone calls in a professional and courteous manner.
- Take accurate messages and relay them promptly.
- Greet and assist visitors.
- Administrative Support:
- Perform general office duties, including photocopying, scanning, and faxing.
- Maintain and organize physical and electronic filing systems.
- Prepare and process outgoing mail.
- Order and maintain office supplies.
- Computer Work:
- Perform data entry and maintain accurate records in computer systems.
- Prepare and format documents, reports, and correspondence using Microsoft Office Suite (Word, Excel, Outlook).
- Assist with basic bookkeeping tasks as needed.
- Document Management:
- Scan and upload documents to electronic filing systems.
- Ensure accurate and efficient filing of all physical and digital documents.
- Maintain confidentiality of company documents.
- Other Duties:
- Assist with other administrative tasks as assigned by management.
- Maintain a clean and organized office environment.
Qualifications:
- High school diploma or equivalent required.
- Proven experience as an office assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Strong organizational and time management skills.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented and accurate.
- Ability to work independently and as part of a team.
- Reliable and punctual.
- Familiarity with standard office equipment (copier, scanner, fax machine).
- Experience with basic bookkeeping is a plus.
