Office Assistant

REIVAX Contracting is a reputable and growing contracting company serving the greater New Jersey area. We pride ourselves on delivering high-quality workmanship and exceptional customer service. We are seeking a reliable and organized Office Assistant to join our team and support our daily operations.

Job Summary:

The Office Assistant will provide essential administrative support to ensure the smooth and efficient operation of our office. This role involves a variety of tasks, including answering phones, managing correspondence, data entry, document scanning and filing, and other general office duties. The ideal candidate will be detail-oriented, possess excellent communication skills, and be proficient in basic computer applications.

Responsibilities:

  • Telephone and Reception:
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Take accurate messages and relay them promptly.
  • Greet and assist visitors.
  • Administrative Support:
  • Perform general office duties, including photocopying, scanning, and faxing.
  • Maintain and organize physical and electronic filing systems.
  • Prepare and process outgoing mail.
  • Order and maintain office supplies.
  • Computer Work:
  • Perform data entry and maintain accurate records in computer systems.
  • Prepare and format documents, reports, and correspondence using Microsoft Office Suite (Word, Excel, Outlook).
  • Assist with basic bookkeeping tasks as needed.
  • Document Management:
  • Scan and upload documents to electronic filing systems.
  • Ensure accurate and efficient filing of all physical and digital documents.
  • Maintain confidentiality of company documents.
  • Other Duties:
  • Assist with other administrative tasks as assigned by management.
  • Maintain a clean and organized office environment.

Qualifications:

  • High school diploma or equivalent required.
  • Proven experience as an office assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Detail-oriented and accurate.
  • Ability to work independently and as part of a team.
  • Reliable and punctual.
  • Familiarity with standard office equipment (copier, scanner, fax machine).
  • Experience with basic bookkeeping is a plus.
