APPLICATION PROCESSING, TRANSCRIPT EVALUATION, AND WORKFLOW MANAGEMENT

POSITION DESCRIPTION FOR:
F2025-Sp2026
Start/End Date: August 1, 2025 – May 8, 2026
Hours: 20/week on campus
Salary: $10,560/academic year, plus tuition remission (up to 9 credits/semester)

- Admitted to a graduate degree program.

- Previous experience in student services, program development, and project management desired.

- Previous experience in admission database work and CRM (Constituent Relationship Management) software desired.
- Demonstrated experience and comfort level with using Excel programs and learning new computer systems.
- Knowledge of standardized exams, including GRE/GMAT and English Proficiency to assist prospective students.
- Knowledge of institutional and program-specific admission requirements.
- Knowledge of social media tools and content production for Facebook, Instagram, LinkedIn, TikTok, YouTube, etc.
- Knowledge of content production tools such as Constant Contact, Adobe Express, Canva, Mediaspace and web design or editing solutions.
- Develop expertise with the Graduate Admissions and Graduate Studies website to answer pre- and post-admission questions from internal and external stakeholders.
- Professional communication with graduate programs, Center for International Studies, and IEC.
- Understand and be able to clearly communicate the following processes: StarID activation, course registration, email set-up, Office 365 access, tuition assessment and billing, use of online Forms from the SGS website.
- Understand the role and importance of effective policy and process in graduate student admission, orientation, and graduation.
Application Processing, Transcript Evaluation, And Workflow Management Position Focus Areas
- Provide regular transcript evaluation support, including all elements of building, updating templates, and using CAS/WebAdmit system to update evaluation status.
- Coordinate the workflow including scanning official documents and linking in Perceptive Content.
- Provide support for the application process through collecting, scanning and uploading application materials.
Processing
- Process application materials from prospective students in CAS/WebAdmit, EMP, PowerBI, and ISRS database.
- Transmittal Processing: Track completed application files, send to departments and track return.
- Develop and run applicant queries and reporting in CAS/WebAdmit, EMP, PowerBI, and applicable databases.
- Send ad hoc application material communications to applicants and program directors, including admission offers and orientation/onboarding information.
- Respond to current student inquiries using template emails to questions about forms/graduate studies processes.
- Ensure new inquiries are added to the CRM database and any ad hoc follow-up communications are sent.
- Assist prospective and currently enrolled graduate students via email, phone, and in person.
- Weekly post to Facebook and Instagram. Active in Graduate Student Facebook group.
- Engage in assisting other SGS staff and GA’s as necessary and directed by supervisor.
- Support retention and completion initiatives of the School of Graduate Studies.
- Support student success programming and outreach initiatives.
