Automotive Finance & Administration Specialist (Full-Time)

Overview:
Join our dynamic finance team at AutoBay, a premium used car dealership - a role that not only supports our daily operations but also serves as a critical stepping stone toward becoming a Finance Manager. In this position, you will be the key liaison between our dealership, our customers, and lending institutions, gaining hands-on experience in evaluating credit, structuring financing deals, and managing the complete funding process.

Key Responsibilities:

Finance Support:

  • Customer Credit Analysis: Assist in reviewing customer credit profiles and financial information to help determine financing options.
  • Deal Structuring: Collaborate with customers and sales teams to structure financing deals that meet both customer needs and dealership guidelines.
  • Liaison Role: Act as the central point of contact between the dealership, customers, and lending institutions. Facilitate the submission of financing applications and negotiate terms when necessary.
  • Paperwork Management: Oversee the complete funding process—from obtaining necessary signatures on finance agreements to uploading finalized documents for bank funding.
  • Process Coordination: Monitor the progress of each finance deal, ensuring that all steps from application submission to final bank approval are completed accurately and in a timely manner.

Titles and Registration:

  • Prepare and process titles and registration paperwork for vehicle transactions.
  • Ensure all documentation complies with regulatory requirements and internal standards.
  • Coordinate with external agencies to expedite the processing of titles and registrations.

General Administrative Support:

  • Provide day-to-day administrative assistance, including managing schedules, coordinating meetings, and handling correspondence.
  • Support various departments with ad-hoc projects to improve overall efficiency.
  • Maintain organized records and prepare routine reports as needed.

Qualifications:

  • A bachelor’s degree is required (or you must be in your final semester of study).
  • Prior experience in a car dealership finance or administrative role is a plus, though not necessary.
  • Familiarity with customer credit analysis, financing deal structuring, and document management processes is desirable.
  • Proficiency in Microsoft Office Suite and familiarity with dealership management or financial software.
  • Exceptional organizational skills with a strong attention to detail.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively in a fast-paced environment.
