Land Use Assistant / Board Secretary

LAND USE ASSISTANT / BOARD SECRETARY – CITY OF SUMMIT, UNION COUNTY

 

 

The City of Summit is seeking a detail-oriented and highly organized full-time Land Use Assistant / Board Secretary to support the Planning Board and Zoning Board of Adjustment. This position is ideal for someone with strong clerical, communication, and organizational skills who thrives in a municipal government setting.

 

Responsibilities include but are not limited to preparing and managing Board meeting materials, including meeting minutes, agenda packets, and application packets; attending and recording minutes for Zoning Board of Adjustment and Planning Board meetings; posting Board-related documents to the City website and coordinating with other departmental staff; communicating with Board members, City staff, and external consultants, including Board Planners, Attorneys, and Engineers; maintaining an organized database of Planning and Zoning applications; tracking escrow balances; processing invoices and managing contract service agreements; fulfilling OPRA requests; and answering inquiries from the public and assisting with general administrative tasks as assigned.


The ideal candidate will be proficient in Microsoft Office Suite and will have the ability to learn municipal software; has strong written and verbal communication skills; can handle sensitive information with professionalism and interact with the public, including managing difficult situations; and will attend evening board meetings as required. A Bachelor’s degree and experience in municipal land use is preferred.
