Purchasing Specialist

POSITION SUMMARY
The Purchasing Specialist will coordinate the movement of all purchased goods from suppliers to customers and Infinity Global distribution centers. This role also provides procurement support and services to internal operational teams. In addition, the Purchasing Specialist will support internal shared services functions through data entry and coordination with other internal teams and external suppliers.
KEY RESPONSIBILITIES

• Communicate with suppliers to obtain product or service information such as cost, lead times, availability of stock and delivery schedules on select projects
• Process purchase requisitions into purchase orders (POs) for goods and services in internal enterprise resource planning (ERP) system
• File and maintain records of all POs created and confirmation emails/documentation
• Confirm POs are received by suppliers and confirm ready dates in ERP
• Update POs with current shipment information
• Follow up on POs to ensure shipment by specific dates; create logistics records and update data as shipment progresses
• Obtain pickup details from suppliers and coordinate with internal teams
• Receive inbound orders into the zone Distribution Centers through ERP
• Communicate with suppliers on invoice issues; provide accounting with three-way match documents to ensure complete and timely payments to suppliers
• Prepare paperwork packets to account teams for customer invoicing

• Prepare various reports related to PO processing, missing or short shipments and supplier performance
• Assist with problem solving and troubleshooting supplier issues and facilitate communication with suppliers and operational teams on all topics
• Monitor supplier raw materials, work in process and/or finished goods to identify potential issues in supply chain
• Assist in the creation of supplier operating procedures and processes
• Develop and maintain positive working relationships with new and existing suppliers

MINIMUM QUALIFICATIONS
• Bachelor’s degree in business administration or similar field, preferred or equivalent combination of education, training, and experience.
• Enterprise Resource Planning software experience preferred
• High volume data entry experience preferred
• Experience with purchasing and vendor relationships
• Proficient in MS Office applications, including PowerPoint, Excel, Outlook, and Word
