Job Title: Operations Associate
Scope:
This role supports the operations team in process improvement, data management, project coordination, and cross-functional collaboration across the organization. The Operations Associate will work closely with multiple business units and departments to optimize workflows, enhance operational efficiency, and ensure adherence to company policies and industry standards. Additionally, this role involves supporting quality-related initiatives, such as maintaining documentation, assisting in audits, and contributing to process improvements that drive consistency and compliance.
Key Responsibilities:
ISO and Internal Audits:
- Develop and manage the ISO internal audit schedule.
- Conduct internal audits and prepare comprehensive audit reports, assessing departments against established processes to identify non-conformances and areas for improvement.
- Follow up on corrective actions to resolve audit non-conformances.
- Assist the Lead Auditor in coordinating and preparing for annual external ISO audits.
Continuous Improvement and Data Review:
- Lead continuous improvement projects in collaboration with functional managers.
- Identify inefficiencies, root causes, and implement corrective actions for internal non-conformances and customer complaints.
- Collect and review production and quality data to support improvement projects and resolve non-conformance issues.
- Perform root cause analysis and prepare customer reports, such as 8D reports, as required.
- Support organizational data projects and initiatives focused on process automation or improvement
Documentation and Reporting:
- Administer document control procedures to ensure compliance with ISO 9001 standards.
- Maintain and manage proper documentation to support effective document control.
- Assist with ESG (Environmental, Social, and Governance) reporting to meet customer and regulatory requirements.
Project and Operations Support:
- Facilitate operations and project execution by coordinating tasks, managing communications, assisting in project planning, and tracking progress.
Required Skills & Qualifications:
- Ability to manage multiple tasks and switch priorities quickly in a fast-moving environment.
- Strong problem-solving and critical-thinking skills, with a proactive and solution-oriented approach.
- Effective verbal and written communication skills to work across departments and present findings clearly.
- Quick learner with the ability to adapt to new processes and contribute meaningfully early on.
- Strong attention to detail, especially in data analysis, reporting, and compliance-related tasks.
- Comfortable working in an unstructured or evolving work environment with shifting priorities.
- Ability to work independently with minimal supervision while maintaining efficiency and accuracy.
- Experience with ISO audits, process improvement, or data analysis is a plus.
- Mandarin proficiency is a plus.
