R2E Administrative Assistant PT

The Administrative Assistant provides essential administrative support for the Ready 2 Earn (R2E) program, ensuring the accuracy, organization, and prompt submission of all necessary program documentation. This role is critical in keeping efficient operations and supporting both program staff and participants.
II. Essential Responsibilities
A. Program Documentation & Reporting
Maintain and manage the master enrollment database for R2E, ensuring spreadsheets are regularly updated and accurate.
Prepare and submit monthly reports to Franklin County as required.
Develop and manage classroom forms including attendance logs, case notes, and weekly observation sheets.
B. Registration Support
Respond to parents' calls and emails about registration issues.
Work directly with parents and guardians to gather missing or updated information.
Provide in-person support for parents needing to complete missing paperwork.
Create and maintain student files, ensuring all required documentation is completed and signed.
C. Program Staff Support
Aid with the coordination and distribution of program materials such as laptops, books, and flash drives.
Provide backup support for Job Coaches and part-time Administrative Assistants as needed.

Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Applications, and Adobe Spark.
Strong data management skills, including retrieval and sharing of program information.
Professionalism & Adaptability
Ability to keep composure and perform effectively under stress or opposition.
Strong attention to detail, ensuring accuracy in documentation and reporting.
Willingness to adapt to change and apply new learning methods to achieve program goals.
Ability to multi-task and prioritize responsibilities effectively.
IV. Work Experience and Education
High school diploma or GED required; some college coursework preferred.
Experience working in summer youth programs preferred.
At least one year of clerical or administrative support experience.
Proficiency in Microsoft Office Suite, Adobe Spark, and Google applications.
Strong written and verbal communication skills.
Must pass a satisfactory background check.
V. Physical and Mental Requirements
Ability to lift and carry up to 20 pounds.
Some weekend, evening, and non-traditional hours are required.
Valid driver’s license with current automobile insurance.
Preference for candidates able to pass a driver’s license check to operate agency vehicles.
Ability to spend approximately 50% of the time standing, bending, and lifting.
