Assistant Property Manager

Salary Range: $19.53-$24.99/hour

Location: Various locations throughout the Twin Cities

This position is eligible to participate in a non-discretionary bonus program for completion of specific metrics and performance.


CommonBond Communities invites qualified applicants to apply for the Assistant Property Manager position. We have several Property Manager openings at various locations in the Twin Cities. The primary responsibility of the Assistant Property Manager is to Assist the Property manager in the daily operations of the community by coordinating the marketing, recertification, compliance, rental, and occupancy along with a strong focus on customer service and community relations.  In addition, this position requires daily administrative duties concerning the management office and the apartment community.

ESSENTIAL JOB FUNCTIONS AND ASSOCIATED TASKS

Compliance

  • Ensures compliance with state, federal, and local laws.
  • Comply with all city requirements and submit monthly reporting.
  • Stay abreast of any changes in fair housing.

Leadership 

  • Develops and maintains professional relationships with residents, the community, and owners/owner boards.
  • Maintains customer service and excellent relations with residents, resident cooperatives, outside agencies, and organizations.
  • Walks property at regular intervals to ensure resident property rules are being followed and that the property is clean and orderly and in good maintenance condition
  • Confers with maintenance technicians concerning deferred maintenance, the operational budget, staff problems, and overall maintenance-related issues.
  • Supervises, directs, trains, and evaluates staff. Prepares yearly employee reviews
  • Directs assistant manager in collections.

Financial

  • Meets Company benchmarks for occupancy, rent collections, and timely compliance paperwork.
  • Operates property within budgeted income and expense guidelines.
  • Obtains bids and supervises capital or contract service.
  • Assists or prepares the annual budget for the property.
  • Reviews and codes all invoices for payment.
  • Tracks and evaluates utility costs.
  • Print monthly reports concerning lease expiration dates and calculating rent increases.
  • Enter all data into YARDI.

Property Management

  • Maintains accurate waiting list. Select and screen new residents.
  • Reports to regional manager and/or vice president of property management before hiring, terminating, or making wage or position adjustments of on-site personnel. Authorizes staff payroll.
  • Works on the last day and first day of each month until responsibilities are completed.
  • Leases apartments; implements and maintains effective advertising and marketing plan.
  • Obtains bids and supervises capital or contract service.
  • Meets all corporate designated deadlines.
  • Implements staff, program, and/or site improvements contained in budget and OPM.
  • Implement procedures as outlined in the Red Book. (Emergency procedures manual)
  • Supervises and purchases janitorial, maintenance, and office supplies.
  • Keeps regional manager informed on operational and financial details.
  • Implement a comprehensive marketing strategy to meet predetermined vacancy standards.
  • Shows apartments.
  • Prepares monthly newsletter for the entire complex.
  • Plans and coordinates resident activities.
  • Plans and coordinates model apartments.
  • Hold regular Crime Watch meetings.

Resident Services (for Core Site properties)

  • Collaborate with residents to maintain lease compliance and housing stability
  • Plan and coordinate community-building opportunities for residents
  • Provide essential supportive services to residents, including:
    • Resources and referrals for Lease education
    • Individualized assistance, as necessary rec: max

 Assistant Property Manager

  • Make appointments, show apartments, and take and verify applications to completion.
  • Shops comparable projects in the marketplace monthly.
  • Answers incoming calls.
  • Greets all visitors. Updates all applicable referral agencies.
  • Follow up on all prospective residents promptly.
  • Keep resident files up to date.
  • Prepares market survey report monthly.
  • Fill out maintenance service requests and make callbacks
  • Takes reservations for community facilities and keeps staff abreast of specific set-ups.
  • Inform management of common areas in need of cleaning and repair.
  • Inspects daily curb appeal to include the pristine condition of model apartments and suites.
  • Informs residents of items in the management office belonging to them.
  • Aids in always keeping management office and lobby area neat and clean.
  • Keep resident listings up to date.
  • Handles resident complaints in a timely and professionally.
  • Coordinates resident functions.
  • Acts as a property manager in the property manager’s absence.
  • Assists with move-in / move-out procedures, including unit inspections, security deposit processing, and unit preparations.
  • Works closely with resident services staff to meet resident service needs individually and as a group.
  • Updates turnover information daily.
  • Works on the first and last day of each month.
  • Prepare move-out letters and instructions.
  • Manages lease renewal program & resident programs.
  • Works overtime as needed.

 MINIMUM REQUIREMENTS

  • Knowledge of government housing subsidy programs.
  • One year of leasing or Assistant property management experience is preferred.
  • Office hours may vary due to the specific needs of the property as determined by the property manager or regional manager.

 KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent verbal, written, and interpersonal communication skills.
  • Exceptional sales skills.
  • Basic word processing and spreadsheet knowledge. (Microsoft, Excel)
  • Demonstrates a clear understanding and consistent use of YARDI software.
  • Typing skills.
  • Detail-oriented and accurate with numbers.
  • Self-motivated.
  • Proficient office skills including organizational abilities.
  • Exemplary time management skills.
  • Knowledge of fair housing and applicable compliance regulations.
  • Willingness to learn.
  • Willingness to assist above and beyond as part of “the team.”
  • Ability to multi-task and work effectively managing multiple projects or tasks.

EDUCATION

  • Post-secondary coursework in property management, business, real estate or equivalent experience preferred.
  • Post-high school education is preferred.

PHYSICAL REQUIREMENTS

  • Ability to lift to 10 lbs.
  • Reaching above and below the shoulders.
  • Ability to sit and stand for extended periods.
  • Ability to file for extended periods.
  • Ability to open and close file drawers.
  • Ability to withstand external weather conditions.
