
Client Payroll Services Coordinator
The Client Payroll Services Coordinator is responsible for accurately managing and processing biweekly and semimonthly payroll for assigned client entities. This role requires strong organizational skills, attention to detail, and the ability to prioritize tasks to meet critical deadlines. The coordinator will collaborate closely with clients to resolve discrepancies, ensure compliance with payroll regulations, and protect sensitive data.
Essential Duties and Responsibilities
- Understand payroll processing requirements and apply them to assigned client entities.
- Process biweekly and semimonthly payroll in compliance with applicable laws and company policies.
- Communicate with clients via phone or email to address and resolve updates, data errors or omissions.
- Safeguard client data and ensure compliance with privacy regulations, including HIPAA.
- Process payroll adjustments, voids, reissues, and ACH uploads.
- Manage off-cycle payroll processing, as necessary.
- Coordinate the printing, packaging, and distribution of payroll checks and advice slips.
- Extract and import payroll data from various software programs, ensuring accuracy and integrity.
- Manage garnishments, tax levies, court orders, and other legal deductions.
- Research and resolve payroll issues to ensure timely and accurate payments.
- Conduct payroll audits and reviews to verify accuracy and identify potential discrepancies.
- Compile data for reports and prepare documentation as requested.
Qualifications
- Understand payroll processing requirements and apply them to assigned client entities.
- Proficiency in payroll software and Microsoft Office Suite, particularly Excel.
- Strong organizational skills and the ability to manage multiple priorities effectively.
- High attention to detail and a commitment to accuracy.
- Excellent communication skills for interacting with clients and internal teams.
- Knowledge of payroll laws and regulations, including those relevant to charitable organizations, is preferred.
- Prior experience in payroll processing or a related field is highly desirable.
